Purpose

The role of the Payroll Administrator is to lead on all aspects of payroll delivery and the XCD system as it relates to staff at CAP head office alongside various generalist HR tasks as needed.

Accountabilities:


  • Carry the relationship with our external payroll partners to ensure accurate monthly payroll delivery
  • Responsible for all salary processing checks including full variance analysis and fully understanding the cause of variances and ability to solve all problems found
  • Ensure sick pay is accurate and paid within the bounds of statutory and occupational pay using XCD reporting effectively to analyse sick leave
  • Ensure maternity pay is accurate, this includes monthly payroll and XCD checks to ensure calculations are accurate
  • Leading on all contract and salary changes to contracts as needed, ensuring XCD is accurately updated
  • Processing new starters documents and forms including right to work checks and references. This includes accurately creating accounts on the XCD system and administering all legal pension requirements
  • Liaise with helpdesk, facilities, line manager, comms and people transformation ahead of every new starter start date to ensure a smooth joining process
  • Processing leavers ensuring all outstanding leave and flexitime is considered, working with all related departments to ensure a smooth transition
  • Meet with Symatrix, XCD and Finance on a monthly basis to review each monthly payroll
  • Administer joiners, auto enrolment and data uploads for CAP's pension scheme with Standard Life
  • General XCD administration including (but not limited to); editing and updating cost codes for business partners in finance, DBS reports for safeguarding purposes, Produce reports for payroll purposes, and occasionally to to support projects with legitimate interest
  • Produce accurate and timely payroll letters personally or by delegation to the People Operations Coordinator
  • Respond to all HR requests within the XCD system, keeping it up to date with all relevant team and individual changes
  • Administer the People Operations inbox, dealing with all enquiries or allocating them as needed or delegation to the People Operations Coordinator.
  • To ensure all People Operations files (electronic and paper) are kept up to date in line with CAP's data protection policy and GDPR guidelines
  • Assist the whole People Operations team as needed in all ongoing projects

  • Encouraging friends, family and other contacts to support the charity through the Life Changer programme and other fundraising initiatives.
  • Attending annual CAP staff conferences.
  • Completing all compulsory CAP training within given timescales.

Measurable Outputs:


  • Payroll preparation completed with 95% accuracy to the dates set by the external payroll provider.
  • Regular reporting on data collection in accountabilities.
  • Post payroll administration & correspondence completed by the end of month.
  • Projects/tasks set by the Head of People Operations
