Job Summary:


Key Responsibilities:


Administrative Assistance:


  • Assist with scheduling meetings and maintain calendars for conference rooms and other shared spaces.
  • Prepare and edit documents, reports, and presentations as needed.
  • Action passes and work with our managing agent to ensure the database is current.
  • Prepare and organise meeting rooms.
  • Booking global travel across the wider business.
  • Raising purchase orders and managing office budgets.

Office Coordination:


  • Act as a liaison between different departments within the organisation.
  • Coordinate office events, meetings, and conferences.
  • Ensure that office equipment and facilities are wellmaintained and in working order.
  • Monitor and manage office supplies, replenishing stock as necessary.

Customer Service:


  • Greet and assist visitors, clients, and employees in a professional and friendly manner.
  • Manage incoming and outgoing mail and packages.

Communication:


  • Assist in internal communication efforts regarding the office with the assistance of our internal communications lead.
  • Collaborate with team members to ensure effective information flow.
  • Contribute to the development and implementation of office policies and procedures.

Problem Solving:


  • Address and resolve routine administrative issues independently.
  • Escalate complex problems to appropriate personnel and follow up on resolutions.

Technology Proficiency:


  • Utilise office software (e.g., Microsoft Office Suite) and other relevant tools efficiently.
  • Provide basic technical support to staff members.
  • Troubleshoot basic technical issues or coordinate with IT support.

Requirements:


  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience in an administrative or office support role.
  • Strong organisational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient in using office software and equipment.
  • Ability to work independently and collaboratively in a team environment.

Salary:
£25,000.00-£30,000.00 per year
