Job Purpose & Context


The main purpose of this role is to provide administrative and operational support to our busy Purchasing, Warehousing and Facilities teams.

The wider Supply Chain and Procurement department forms a crucial part of P2i's global operations; therefore, the Junior Operations Assistant will play a key role in handling various tasks to help ensure the smooth running of daily business activities.


This position is a great entry-level opportunity for somebody who enjoys a varied role, can offer great customer service to internal/external customers and is looking to gain relevant exposure within Supply Chain/Procurement.


Main Responsibilities
The main aspects of the role include, but are not limited to:

  • To process purchase orders and work with external suppliers to manage item delivery dates.
  • Assist with internal system data entry and accurate maintenance of departmental records.
  • Collaborate with the wider team to maintain the SAP system promptly and accurately.
  • Resolve invoice queries by liaising with the Accounts team and external suppliers.
  • Assist the Warehousing team with the organisation of inventory, stock counts and identification, as required.
  • Provide administrative assistance to the Facilities team by raising POs, managing contract renewal dates etc.
  • Respond to and escalate queries from internal and external customers, as appropriate. Perform various adhoc operational tasks and assist with projects, as required by the business.

This role will interact with internal and external stakeholders at all levels including:

  • Supply Chain and Procurement, including Warehousing and Facilities.
  • Finance/HR
  • Project Management
  • R&D and Engineering
  • External suppliers and businesses

Skills, Behaviours & Experience

Essential:

  • Excellent attention to detail and organisational skills.
  • Proficient in using IT systems and software (including Microsoft Office).
  • Demonstrable 'cando' attitude and desire to learn P2i processes.
  • Educated to GCSE (A*C/94) or equivalent level.

Other Requirements:

  • Strong verbal and written communication skills.
  • Ability to multitask and prioritise workload effectively.
  • Selfmotivated and can demonstrate ownership/responsibility for duties.
  • See tasks through to completion in diligent and timely manner.
  • Adaptable with strong collaborative skills.
  • Team player capable of building relationships at all levels.
  • Maintain a professional and positive approach in fastmoving environment.
