This role entails


The Administrator role is to be proactively involved in all PPM planning and reactive work at the Manchester and Leeds sites, ensuring all the administration and site auditing is carried out effectively.

They will also manage the subcontractors PPM's and ensure they are ordered and planned effectively.

Once complete they need to allocate to an approved budget PO and receipt to ensure the WPS team has full visibility of all costs incurred.


Key responsibilities:


  • Using Planet FM, plan and arrange all monthly subcontractor PPM visits ensuring the relevant orders are in place. Liaise with subcontractors for breakdown and reactive call outs.
  • Using Planet FM, manage reactive works and help desk issues.
  • Give and receive support from the wider WPS teams, in both Manchester and Leeds, with administrative duties/activities when required.
  • Raise purchase orders, receipt invoices and track budget spend. Complete payroll for the Leeds and Manchester engineering teams.
  • Provide performance reports from Planet FM or similar CAFM (Computer Aided Facility Management) system.
  • Escalate subcontract service delivery issues.
  • Request PPM compliance documents from subcontractors for Leeds / Manchester and associated sites and upload to ITV Tracker.
  • Order team uniforms and consumables.
  • Arrange any training requirements for the teams as and when required and update the Training Matrix.
  • Support the Regional Compliance Administrator with the general planned and adhoc administrative duties at other ITV locations as and where/when necessary.

To be considered for this opportunity you will need to demonstrate the Minimum role criteria:

  • Demonstrate an understanding of estate compliance delivery and how it applies to planned engineering within a FM environment
  • Previous experience of end to end service delivery in the FM Industry
  • Extensive knowledge of Planet FM or similar Computer Aided Facility Management system

  • Understand planned engineering within a FM environment
  • Flexible approach to working arrangements, and locations, in response to business needs
  • Business awareness of how the quality of service delivery can impact on business activities and budget spend.
  • Exceptional problem solving and organisational skills
  • Flexibility in approach
  • Excellent communication skills both written and verbal
  • Courteous, helpful and 'can do' attitude
  • Clearly communicate ideas, plans and priorities to others
  • Establish credibility with an intellectually demanding audience
