Job Description for the role of Finance Assistant

Location:
Hybrid/Flexible


Salary:
£21,575 (pro rata)


Hours: 7.5 Hours a week (can be split over - 3 days)

Purpose of the job:

Grassroots Suicide Prevention (Grassroots) is a charity based in Brighton working nationally to prevent suicide.

Our vision is 'A future where more lives are saved from suicide' and our mission/purpose is; "We empower people to help saves lives from suicide through connecting, educating, and campaigning nationally:

Connecting: We listen and connect people to support through our Stay Alive app, tools, and resources to help keep people safe from suicide.

Educating: We offer bespoke and evidence-based consultation and training, co-designed to empower individuals, organisations, and communities to develop the skills and confidence to help save lives.

Campaigning: We help remove the stigma around suicide. We know that most suicides are preventable with timely intervention and the right support. We raise awareness through campaigning on the ground and influencing at a strategic level.

There hasn't been a more exciting time to be joining Grassroots.

As we emerge from the Covid-19 pandemic, Grassroots has performed exceptionally well and we are now looking to recruit a Finance Assistant to support our Finance Manager with our ambitious income growth plans in the coming years.

Working alongside our Finance Manager the Finance Assistant will primarily be responsible for processing our day-to-day finances onto QuickBooks.


The Finance Assistant will need to be highly numerate with a good knowledge of bookkeeping/accounts, advanced Excel skills and good secretarial skills.

We are looking for a team player who can communicate effectively with colleagues. Someone with good people skills who is proactive rather than reactive, with a "can do" attitude.


Main Duties and Responsibilities:

Purchase Ledger:


  • Processing all purchase invoices onto QuickBooks, to include checking invoices, ensuring they are authorised where necessary and allocating the appropriate coding prior to posting.
  • Process supplier payments onto the bank ready for authorisation by the CEO/ Finance Manager

Sales Ledger:


  • Posting invoices and receipts through the sales ledger in QuickBooks, to include allocating the appropriate codes prior to posting.
  • Downloading the relevant monthly Excel reports from Eventbrite and generating invoices for sales onto QuickBooks and sending to purchasers.
  • Chasing any unpaid debts as and when required.
  • Liaising with the training team on other training sold and updating the Salesforce system as and when required.

Bank Ledgers:


  • Monthly reconciliation of the bank accounts in QuickBooks.
  • Investigating any misbalances and taking the appropriate action in liaison with the Finance Manager.

Donations:


  • Downloading the relevant monthly Excel reports from the Donation Portal, Just Giving and Stripe and updating QuickBooks where required.
  • Keeping an accurate record of Gift Aid donations and submit on a quarterly basis.
  • Reconciling the PayPal & Stripe Account on a quarterly basis
  • Transferring money on a quarterly basis from the online PayPal Account to the organisation's Current Account.

Cash & Cheques:


  • Processing efficiently, income received from various sources, as well as banking income received in the post (liaising closely with the Fundraising Team)
  • Deal with enquiries generated from within the Charity and externally in relation to money received, money paid out or any other relevant transactional activities
  • Banking the takings, plus banking any extra monies that have not been processed through the bank e.g. collection boxes.

Payroll and HR related:


  • Support the Finance Manager in the processing of Payroll when required, collating sickness, new starter, leaver and holiday information and submitting information to the HMRC and NEST.

General
Maintain good working relationships with other departments and provide finance related support by dealing with queries and assisting with problem resolution

To assist the Finance Manager

  • In the development in the development and preparation of monthly reports in relation to income generation
  • In the preparation of the charity's annual accounts, statutory returns and management reporting
  • In the preparation of Funding bids.
To provide cover for the Finance Manager during periods of absence or as required
