Position Overview:
To provide a professional secretarial and administrative support for the Sembcorp Executive Team and all levels of the Sembcorp Utilities UK Business, whilst being the first point of contact for internal and external Companies, including confidential andsensitive work.
Responsibilities:
- Provide secretarial and administrative support to the Business supporting the Company strategy, objectives and goals
- Secretarial and Administrative duties which include Postal duties, Photocopying, filing, process expenses for travel / entertainment / car mileage, issue mailshots and create SAP purchase requests and work orders, taking and typing of minutes and distributionthereof
- Diary management and arranging meetings: Balance priorities and make necessary amendments to meet changing demands including arranging internal and external meetings at all levels including the internal Executive Team and Senior Management from externalcompanies
- Meeting room management and facilitation of visitors including ownership of the company online meeting room system database and the setting up of meeting facilities which include videoconferencing, teleconference facilities any associated hospitality requests
- Travel arrangements, Domestic and International and the production of the associated itinerary working closely with the purchasing department, travel suppliers and the company occupational health providers.
- Collate and issue regular reports for the Operations/Maintenance/Engineering departments of Sembcorp UK and our parent company in Singapore i.e. ATB, MFCM SMC reports and log and monitor actions arising from the business Monthly / Quarterly Strategy Reviews
- Handling sensitive and confidential information in an appropriate manner
- Procurement of goods required for the Business Areas
- Administer/manage local Business Area databases, Safety and hospitality
- Administer/manage local area Registry/Filing systems
- To support the Office Manager in organising internal and external corporate events conducted by Sembcorp Utilities UK
- To proactively consider devising and implementing new process to enhance the delivery of service to customers
- To adopt a flexible approach to cover other duties where appropriate and within the scope of the role
