About The Music Works and why we need this role

The Music Works is an award-winning Gloucestershire charity that uses music as a vehicle to transform the lives of young people (8-30 years) living in challenging circumstances.

We work with all abilities, from absolute beginners to some of the county's most skilled emerging artists.

We specialise in music technology and production, singing and song writing, rap and beatboxing, using a range of musical instruments from guitars to Djembe drums, because we have found these approaches to be the most accessible and achieve the best outcomes.


Brief
This is a new role, so we expect it to grow and develop over time.

Its main purpose is to support the youth and community director as well as project leads in the management, administration, and implementation of project management across our community programmes, ensuring programmes are running smoothly and effectively.

Programmes are really varied and include those targeted at disabled young people, those with mental health challenges and those at risk of offending.


Key responsibilities
Work with the youth and community director and project leads to set up, implement, and maintain project management processes and systems across our community programmes by:

  • Reviewing and improving systems already in place
  • Managing the coordination and communication of delivery staff and volunteers
  • Prioritising and monitoring the progress of tasks, actions, and milestones
  • Evaluating and developing projects over time
  • Understanding funder deliverables and ensuring these are being delivered
  • Managing referral processes
  • Act as a main point of contact for projects where appropriate
  • Minute taking and writing up notes and recordings from meetings and events
  • Source and maintain information about opportunities, progression routes and exit strategies
  • Communicate the need for media and advertising requests and materials with the marketing team
  • Collate information for funding reports
  • Support the operations manager with improvement of project monitoring and evaluation procedures
  • Use Upshot, our monitoring and evaluation software to provide information to the fundraising team
  • Promote and comply with all of our policies and practices
  • Be responsible for identifying and undertaking training and personal development
  • Be responsible for managing your own time and communicating well with the team

Person specification

  • A proven very high level of organisation, administrative and time management skills
  • Ability to work independently to deadlines and targets
  • Excellent communication skills, with ability to work effectively with a wide range of people, in both verbally and in written formats.
  • Systems management and evaluation experience
  • Effective and creative approach to solving problems
  • Ability to work and contribute effectively in a team
  • Commitment to personal professional development.
  • A belief in the transformational powers of music for young people
  • A great team player
  • IT competent, including using Excel, PowerPoint, Word

Ideally, we'd also love it if you:

  • Have experience of project management/coordination, including specific tools and systems
  • Have experience of managing budgets
  • An understanding of working with young people from marginalised/disadvantaged backgrounds and with a range of complex needs
  • Have experience of working in the charitable sector with funders
  • Understand safeguarding
