To carry out the day-to-day coordination of our maintenance offering, providing a key interface between technicians and customers. The role involves dealing with a high volume of orders and enquiries, coordinating multiple priorities to ensure customer satisfaction.
Responsibilities:
- Manage customer requirements and expectations
- Process orders handed over from the team (ensuring the clean order process has been followd)
- Raise acknowledgement to customers
- Liaise with the technical team to ensure projects are technically reviewed and Risk Assessments/ Method Statements are provided in time to meet customer requirements
- Ensure expected completion date entered into DFSD before sequenced.
- Order parts from the factory and suppliers as required
- Schedule technicians on planned and unplanned jobs, being mindful of their base location and skills set
- Forward plan/schedule maintenance contracts for the duration
- Receive engineer job sheets and upload to SharePoint
- Complete job in DFSD same day as finished by technician
- Raise invoices if requested by Service Leader
- Schedule technicians at least 14 days in advance, raising any gaps to the Operations Manager
- Support the Warranty and Sales Concession process
Qualifications:
- 23 years of experience in HVAC business, technical service business or similar industry (eg: customer service, engineer scheduling) and technical activity focused on technical products and solutions
- Local HVAC or technical services market knowledge is an advantage
- Excellent phone and interpersonal skills with strong verbal and written communication
- Ability to work under pressure
Key Competencies:
- Ability to work confidently and efficiently with MS Word, Outlook, Powerpoint & Excel
- Access to produce correspondence and documents and to maintain presentations, records, spreadsheets and databases
- Strong communication skills both orally and written
- Previous multiproject coordination / scheduling experience in a high volume environment
- Highly customer focused and proactive
- Commercial acumen
- Flexibility and pragmatism in respect of the demands of the role and the seasonal nature of the business
