About the role

Balfour Beatty has an exciting opportunity for an
Administration Assistant to join our Regional team to work at Thames Barrier, Eastmoor Street, Charlton, London SE7 8LX.


What you'll be doing Role Purpose**:

  • To Maintain good communication with all personnel; understand people needs and requirements.
  • To offer office support and to participate & coordinate meetings and events when needed & the production of documents including JV events and stand down days.
  • To solve any issues that arise during the day to day run of the office.
  • To be the appointed office first aid & fire warden.
  • To ensure the office provides a good working environment (ground floor & first floor).
  • To assist Project Manager / General foreman by placing orders: PPE (DCC supplier), consumables & stationery (Lyreco).
  • To be well known and to become key point of contact for the Thames Barrier Modular office.
As an
Administration Assistant, you will have the following accountabilities:

  • Ensure all training records for subcontractors & BB Personnel on site have been located in the Shared Drive & hard copies are available (request copies of CSCS cards) if not provided;
  • Ensure training records are up to date;
  • Assist with booking and managing training for the BB team.
  • Administration to follow processes established for TEAM2100 and Modular office: Project Filing System, Timesheets, Whereabouts, Holiday Planner, Meeting room booking. Document Register / Document Control.
  • Paperwork and Posters on Noticeboards: Documents to be up to date i.e current fire wardens & first aiders. (Follow BB notice board content correspondence);
  • Organise DSE assessments for personnel working from the Modular office;
  • Refill first aid boxes available in the modular office;
  • Diary (BIM360 or ipad): Maintain daily diary by recording activities related to Office Manager / Modular office.
  • Basic admin tasks: photocopying, binding, filing basic office tasks: ensure kitchen areas, meeting rooms, hot desks are left clean.
  • Manage visitors and deliveries & meeting rooms.
  • Book train tickets for team.
  • Record all holiday and absences on tracker
  • Place consumable orders for office
  • Manage Msite portal
  • Manage Security Process (CTC)
  • Manage onboarding process for new starters
  • Cover various tasks for senior administration manager whilst on maternity leave

Who we're looking for You will have the following experience and qualities**:

  • This is a position for an individual with previous experience in Office Assistant or someone who has previous experience working in a busy environment;
  • Guidance & training will be fully provided;
  • Ability to communicate effectively in order to maintain a good working environment;
  • In addition to have strong planning and organisation skills to coordinate multiple activities and who can work well under pressure and who can meet deadlines.
