JOB TITLE:
RECEPTIONIST
REPORTS TO:
GP PARTNERS, PRACTICE MANAGER/OFFICE MANAGER
HOURS:
37.5 hours per week (Monday - Friday)
Job Summary:
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Responsibilities:
Administration
- To have a thorough knowledge of all Practice procedures.
- To work in accordance of written protocols
- Scanning of letters and relevant correspondence into medical records using Docman
- Fax and photocopy as requested
- Patient notes and correspondence:
- Retrieve and refile records as required, ensuring strict alphabetical order is adhered to
- Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
- Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
- Induction and training of all new staff to agreed standards.
- Maintenance of Immunisation register
- Maintenance of Cervical Cytology system
- Maintenance of Child Screening system.
- Maintain Practice morbidity register.
- Ensure that all new patients are registered onto the computer system promptly and accurately
- Monitoring patient call and recall systems
- Extraction of necessary data from clinical correspondence and input into Electronic Patient Record.
- To ensure the efficient running of the Practice computer system, carrying out searches, audits and recalls as required by the doctors, nurses and manager.
- Load updates
- Report faults to software supplier and track progress
- Daily administration of system backups and electronic links to the Pathology Laboratory and local Health bodies
- Set up and run clinical searches
Note summarising
- Culling and sorting patient records and letters in preparation for summarising
- Reviewing medical records and producing an accurate summary of the patient's medical history.
- Read Coding the information into the Practice clinical system
- Auditing data collection standards in the Practice
- Monitoring progress of notes summarising against Practice targets
- Monitoring patient call and recall systems
- Filing and retrieving paperwork
- Monitoring progress of notes summarising against Practice targets
- Signposting patients to appropriate services
- Receiving patients consulting with members of Practice team
- Handing completed repeat prescriptions to patient and checking names and address.
- Be able to cover all reception position as necessary
- Process appointment requests for today and future appointments from patients by telephone and in person.
- Deal with visits requests
- Registrations of new patients computer data entry and medical records.
- Process patients change of address computer data and medical records (have knowledge of Practice area.
- Process repeat prescription request in accordance with Practice guidelines.
- Have working knowledge of telephone, during and after hours.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits into the visit book, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
- Prescription line duties: Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.
- Manage mail manager: laboratory reports
- Deal with patient inquiries re lab results
Premises
- Ensure building security have thorough knowledge of doors/windows/alarm.
- Premises:
- Open up premises at the start of the day when first to arrive, deactivate alarm and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
- Opening up/lockingup of Practice premises and maintaining security in accordance with Practice protocols
- Maintaining and monitoring the Practice appointments system
- Processing and distributing incoming (and outgoing) mail
- Taking messages and passing on information
- Filing and retrieving paperwork
- Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scannin
