Overview:
We are seeking a detail-oriented and highly organized Operations Administrator to join our team. As an Operations Administrator, you will play a crucial role in ensuring the smooth functioning of our daily operations. This is a full-time position based in our office.
Salary is negotiable depending on experience.
RESPONSIBILITIES:
- Maintain a record of lost, damaged, and missing equipment from concluded / ongoing contracts, making sure invoices are submitted to the customer in the same calendar month.
- Raise Proforma Invoices.
- Raise Customer Quotations at times, based on directions received during handovers from Managers or other members of the sales team, especially when they are on leave / travel.
- Provide annual leave cover for other parts of the operations and sales team.
- Provide receptionist cover to receive visitors and incoming phone calls.
- Support the logistics team in arranging collection of items from local suppliers for project dispatches.
- To liaise with the various freight forwarders for delivery in the required timeframe.
- Support the engineering team in arranging/managing equipment sent for repair, minimising the time equipment is away for repair.
- Prepare monthly maintenance reports to assist in with general housekeeping on our asset management system.
- General administration duties, e.g. copying, filing, arranging meetings, maintaining diaries and minute taking.
Requirements:
- Microsoft Office Experience (Word, Excel and Outlook)
- 1 or 2 years of experience of working in an office environment, assisting in general administrative duties.
- Experience of working effectively without close supervision
- Knowledge of SAP Business 1 an advantage but not essential as training will be given
