We are currently seeking a Sales Support Specialist in Darley Abbey, Derbyshire, where you will be fundamental in serving customers by processing European sales orders ensuring accurate and timely service and guaranteeing on-time delivery for our customers. Furthermore, you will support the conclusion of consignment stock and supply agreements with customers, as well as other general sales administration.

You will be instrumental in maintaining quality service and support to our customers and that Brewer Science are their supplier of choice, due to effective processing of orders and quality support. This position will be located in Derby, UK.

Main Duties and Responsibilities

  • Operations, Process & Procedures_
  • Take ownership of processing orders, liaise with customers re acknowledgments and shipment details to ensure a timely response and that delivery dates are met.
  • Ensure the allocation of materials to support orders and delivery of the required shipping paperwork for dispatch in a timely manner.
  • Guarantee an efficient smooth and timely sales support process by utilizing and becoming fully trained on the required systems, working with our carriers.
  • Ensure that the Certificate of Analysis (CoA) and other documentation such as the Material Safety Data Sheets (SDS) and invoices are issued, to support with process.
  • Ensure that all sample orders and Customer Sample Requests (CSR) and additional requirements are processed in a timely manner, as well as free of charge sample requests.
  • Ensure that quotations for the European region are processed and tracked, in a timely manner.
  • Systems & Sales Order Processing_
  • Manage the supply of material samples to customers, ensuring that they have the right stock, at the right time at the right place.
  • Respond to and follow up on processing orders for our partners from the start of process with order acknowledgements, contract reviews, export control checks etc.
  • Ensure "Attachments" in Oracle detailing special instructions are kept up to date and accurate.
  • Support the demand management process.
  • Act as a support and provide cover for Sales Invoicing as and when this is required.
  • Acts as the process owner for internal procedures as required.
  • Responsible for the scheduling of shipments to achieve request dates, ensuring high service levels across the organization.
  • Takes ownership to stage, transact and ship confirmed orders.
  • Record delivery times in Oracle database as well as taking ownership of tracking shipments and checking paperwork.
  • Allocate batches in accordance with procurement specifications.
  • Arrange the invoicing for European shipments via Oracle.
  • Consignment Process_
  • Take ownership of consignment inventory management and is responsible for the consignment of month end and weekly invoices, to ensure that the consignment shipments are transferred to the relevant warehouse.
  • Ensure customers' min/max stock levels are adhered to.
  • Ensure stock reports are received weekly.
  • Check and balance stock reports on a weekly/monthly basis.
  • Perform inventory moves in Oracle.
  • Balance consignment warehouses in Oracle on a weekly/ monthly basis.
  • Liaise with shippers to help them meet customers' expectations.
  • Advise Account Managers on pricing, regarding shipping and duties elements.
  • Provide advice and support the conclusion of consignment stock and supply agreements with customers.
  • Customer Relations & Service Levels_
  • Act as the liaison with suppliers and shippers (expediting customs clearance) internationally.
  • Work closely with one of our largest customers using their inhouse system to manage the stock planning and order process.
  • Ensure that any problems are resolved to provide an efficient service to our customers.
  • Respond and follow up on any credit control tasks, as and when required.
