OVERVIEW OF ROLE
To prepare statutory and service charge accounts for residential & commercial properties

To upload service charge budgets based on agreed apportionments and totals

To liaise with external auditors as part of the audit process from start to finish

To raise service charge invoices to tenants based on uploaded budgets


RESIDENTIAL SERVICE CHARGE ACCOUNTING

  • Prepare and finalise the service charge accounts to be audited externally.
  • Deal with technical points on accounts preparation in accordance with the client leases and ARMA/RICS regulations.
  • Ensure appropriate fees are raised for the work carried out.
  • Liaise with external accountants and ensure any deadlines are met.
  • Ensure any excess service charges are issued to the lessees.
  • To analyse expenditure for miscoding.
  • To calculate any accruals and prepayments that may be needed.
  • Calculate reserve contributions.
  • Ensure statutory accounts are prepared in accordance with applicable accounting standards
  • Ensure statutory accounts are sent to clients for approval and that the return of the signed accounts are followed up with the RMC directors if necessary
  • Ensure timely approval and filing at Companies House.
  • Ensure accurate expenditure figures are provided for the estimated year to date alongside the budgets as a comparison tool.
  • Ensure correct apportionment of budget charges in accordance with the leases.
  • Ensure budgets uploaded to TRAMPS and appropriate charges are raised to the lessees.
  • Provide support for the property managers and clients

COMMERCIAL SERVICE CHARGE ACCOUNTING

  • Prepare and finalise the service charge accounts to be audited externally.
  • Liaise with managers to finalise the accounts and ensure accounting requirements within the RICS Code and tenants' leases are met.
  • Ensure excess service charge and accounts are reported to clients and tenants as appropriate.
  • Ensure appropriate fees are raised for the work carried out.
  • Liaise with external accountants and ensure any deadlines are met.
  • Ensure any excess service charges are issued to the tenants and clients.
  • To analyse the expenditure for miscoding
  • To calculate any accruals and prepayments that may be needed
  • Ensure timely approval and filing at Companies House where applicable.
  • Liaise with Commercial Property Managers to ensure budgets for commercial properties are prepared, approved and issued to tenants in accordance with the RICS Code.
  • Ensure accurate expenditure figures are provided for the estimated year to date alongside the budgets as a comparison tool.
  • Ensure correct apportionment of budget charges in accordance with the leases.
  • Provide support for the property managers and clients

  • Once approved to upload on to Tramps

Additional

  • Prepare opening reconciliations and accounts for new properties taken on by the Block Management Department.
  • Ensure the property and the lessees are accurately added to the database software and all is set up in accordance with the provisions of the lease.
  • Ensure any fees agreed by the Block Management Department for setting up the property are raised.
  • Prepare full handover reconciliations and liaise with new managing agents for terminated business within three months of notice of termination.
  • Deal with queries from new agents promptly

GENERAL

  • Dealing with telephone calls and any queries;
  • General filing and correspondence (as required);
  • Providing cover for team members (as required);
  • Other duties (as required).

SKILLS REQUIRED

  • Good knowledge of ARMA and RICS regulations
  • Experience of client accounting software (TRAMPS) is desirable
  • Experience of client accounting software (APB) would be an advantage
  • High level of concentration, accuracy and attention to detail
  • Selfmotivated with a methodical and organised approach
  • Able to effectively prioritise and multitask
  • Excellent people and communication skills at all levels
  • Dependable and flexible as well as possessing the ability to maintain a high level of confidentiality
  • Proactive and able to take responsibility for own work and assist others
  • Work well under pressure
  • Good working knowledge of Microsoft Office packages
