King's Medical Centre is a busy GP practice based in the centre of Sutton-in-Ashfield.

With over 9,000 registered patients, we are a busy team who work closely together to ensure we deliver an excellent service to our patients.


We have created a new role of Secretary / IT Administrator to work alongside our current Secretary, Practice Manager and administrative team.

Job summary


To be responsible for the undertaking a wide range of secretarial and administrative duties and the day-to-day functionality of the organisation's IT systems, undertaking a wide range of IT systems management duties in support of the multidisciplinary team.


Duties can include but are not limited to, processing of patient referrals in a timely manner, liaising with multidisciplinary team members and external agenies such as secondary care, leading the running of patient searches and requested reporting data, administration of databases, user accounts, housekeeping, and general queries.

In addition, the post holder will be required to provide support to the team, ensure all issues are resolved or escalated in a timely manner and provide local training as necessary whilst ensuring all issues are resolved or escalated in a timely manner.


Primary key responsibilities
The following are the core responsibilities of the IT Systems Lead.

There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:


  • Typing letters, reports and associated documentation as required
  • Liaising with external agencies such as hospitals and community referrals, ensuring all enquires in an effective manner
  • Inputting data into the patient's healthcare records as necessary
  • Processing referrals using the electronic referral system (ERS)
  • The provision of a local support service to all staff, resolving issues with IT systems and equipment
  • Provide IT training to all staff as required, ensuring the effective use of all systems
  • Deliver the IT related elements of the staff induction programme
  • Build, generate and carry out searches as required by the organisation team to enable reports to be produced and action plans devised
  • Support the team in the effective use of searches, audits and recalls
  • Support the team in the use of the clinical systems
  • Act as a liaison between the organisation and external agencies, for the timely management of all faults
  • Configure searches and interpret data for audit purposes
  • Supporting the practice manager in the writing of all IT related policies and protocols and user guides
  • Provide cover to administration staff where necessary i.e. scanning, prescriptions and insurance reports

Secondary responsibilities
In addition to the primary responsibilities, the IT Systems Lead may be requested to:

  • Partake in audit as directed by the audit lead
  • Liaise with the CCG and other external stakeholders in relation to IT matters
  • Produce meeting agendas and record the minutes of meetings
SystmOne and GP practice experience essential


Job Types:
Full-time, Part-time, Permanent

Part-time hours: per week


Salary:
£15,600.00-£23,400.00 per year


Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekend availability

Ability to commute/relocate:

  • SUTTON-INASHFIELD: reliably commute or plan to relocate before starting work (required)

Experience:

Medical Secretarial: 1 year (preferred)
