Job Summary

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team.

Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required.

To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.


Main Duties

  • The following are the core responsibilities of the receptionist.
There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:


  • Maintaining and monitoring the practice appointment system. Book appointments appropriately, ensuring sufficient time is allocated and all necessary information is available to the clinician
  • Process all requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Ensure that patients without appointments, but who need "urgent" consultation are seen in a logical and nondisruptive manner
  • Signpost patients to the correct service
  • Process incoming and outgoing mail
  • Initiating contact with and responding to, requests from patients, team members and external agencies
  • Read code data on SystemOne as necessary
  • Photocopy documentation as required
  • Retrieve and refile records as required, ensuring that strict alphabetical order is adhered to.
  • Ensure correspondence, reports, results etc. are filed in the correct records
  • Data entry of new and temporary registrations and relevant patient information as required
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary care.
  • Advise patients of relevant charges for private services, accept payment, issue receipt and document as necessary
  • Enter requests for home visits onto the computer including all information needed patient name, address and telephone number, person requesting the visit and their contact details. Where necessary refer to the Doctor on call
  • Input data into the patient's healthcare records as necessary
  • Manage all queries as necessary in an efficient manner
  • Maintain a clean, tidy, effective working area at all times
  • Monitor and maintain the reception area and notice boards and ensure the reception area and waiting room area is kept neat and tidy
  • Support all clinical staff with general tasks as requested
  • Scanning of patient related documentation and attaching scanned documents to patient's healthcare records
  • Manage repeat prescription requests, ensuring they are processed accurately and efficiently
  • Ensure the telephone system is operational at the beginning of the each day and switched over to the appropriate service at the end of the day
  • Ensure correspondence is sorted, scanned and processed correctly
  • Change patient details as appropriate
  • Action path results and other correspondence correctly
  • Complete opening and closing procedures as necessary

What Apprenticeship Training will you receive?
The successful applicant will complete and obtain a
Level 3 Business Administration Qualification through Learning Curve Group.


You will be taught through:

  • 46 Weekly 121 Sessions with your tutor
  • 6 weekly hours of Off The Job Training
  • The course is a
    14 months programme.
