We are currently recruiting for a temporary PA for a central based Oxford University College, starting asap on a full-time basis during 12 weeks.


Duties:


  • Dealing with correspondence, including interdepartmental liaison.
  • Provide confidential secretarial support to the Bursar, including managing the day to day business of the Bursar replaying to a range of issues on his behalf, as well as researching and preparing information/drafting replies.
  • Provide full administrative support on financial matters, for example ensure that requisitions, invoices and expenses are dealt with efficiently.
  • Scheduling and organising meetings, drafting agendas, preparing and collating documents for meetings
  • Circulating documents and maintaining them for easy retrieval and archival purposes
  • Taking minutes at meetings, ensuring followup of committee decisions and communicating any changes
  • Organising travel bookings and associated expenses for the Bursar


The Temporary Staffing Service supports University of Oxford departments and affiliated colleges with the recruitment of temporary admin and clerical staff.

  • Person specification

Essential

  • Substantial experience of working as a PA at a senior level
  • High standard of written and spoken English with the ability to draft fairly detailed correspondence and documentation with a high level of accuracy
  • Ability to judge priorities
  • Excellent organizational skills
  • Ability to observe confidentiality
  • Ability to exercise own discretion, especially in absence of the Bursar
  • Ability to work in a sometimes busy and pressured environment
  • Ability, intellect and initiative to work in a dynamic environment and to get on well with people in an academic setting
  • Excellent interpersonal skills, including the ability to communicate confidently, effectively and diplomatically with internal and external contacts at all levels
