What we are looking for:


We are looking for an exceptional Executive Assistant to provide 1:1 support to the CEO of an industry leading and highly influential property development company with secondary diary support to the Company's Development Director (DD).

The office is based in Marylebone, but you may sometimes be required to visit developments around London.

The CEO travels regularly and he requires an EA to help run both his personal and business life whilst keeping a close eye on the operation of an office comprising approximately 20 individuals and overseeing the role of Receptionist/Team Assistant.


Duties for the CEO include:


  • Maintaining a daily dialogue with the CEO and proactively overcoming any issues that might arise from day to day.
  • Booking restaurants/meeting rooms/placing calls on the CEO's behalf
  • Business travel coordination, flights, hotels, car hire, etc
  • Dealing with privileged information
  • Organising weekly management meetings, collating agenda items and minute taking
  • Organising monthly Board meetings and collating the agenda
  • Coordinating meetings for the CEO's various Board appointments
  • Firm but polite gatekeeping, both internally and externally
  • Relationship management of key stakeholders and polished representation of the brand and the CEO's office
  • Overseeing the role of Receptionist/Team Assistant
  • Appropriately delegating office maintenance matters and ensuring the smooth running of the office
  • Assisting with internal event planning, preparing guest lists and monitoring responses
  • Assisting the Head of Communications with various PR activities involving the CEO and in particularly the company's social media feeds and website updates

Private PA Work:


  • Coordinating incoming bills and managing payments
  • Dealing with personal bank accounts
  • Replying to social invitations
  • Responding to charitable donation requests
  • Managing personal records and filing
  • Making appointments, including health and medical consultant visits
  • Running errands as required
  • Maintaining private vehicles and parking permits
  • Administering the private art collection records and associated insurances
  • Protecting and suitably representing the CEO's public profile

Duties for the DD include:


  • Managing the DD's hectic schedule, anticipating demands and maintaining a busy outlook calendar
  • Managing travel and accommodation arrangements if required for the DD and his team.
  • Some communications such as prioritising incoming correspondence (including mail), replying and drafting responses as necessary.
  • Assisting the development team with various tasks when required

Skills and Key Attributes:

To be considered for the role you must possess and be able to demonstrate the following core skills:

  • Excellent communication (verbal and written) skills, ability to liaise at all levels and with the offices of high-profile individuals.
  • Ability to handle confidential/sensitive matters at all times.
  • A meticulous eye for detail and be able to preempt situations.
  • Highly organised and efficient
  • Excellent multitasking and time management skills
  • Ability to take responsibility for individual projects.
  • Use own initiative and prioritise accordingly.
  • Be able to manage and influence others.
  • Able to fit into a talented and dynamic working environment.
  • Must have good IT skills and knowledge of Microsoft Office
  • Reliability, flexibility (willingness to work overtime at short notice)
  • Be aware of working with different time zones.
  • Well presented, polished, polite and reliable
  • Flare for art and design
  • Maintain resilient and calm under pressure

Pay:
£45,000.00-£52,000.00 per year
