A DAY IN THE LIFE A PEOPLE COORDINATOR
As our People & Culture Coordinator, you'll be responsible for supporting of a full range of transactional people activities.

Key tasks include, but are not limited to:

Recruitment

  • Produce recruitment activity reports weekly

Onboarding & Induction

  • Request and coordinate employment references & DBS clearance on our clearance portal
  • Input new starters onto HiBob
  • Coordinate the new starter onboarding and induction process with relevant departments
  • Prepare new starter welcome packs to be given to new starters on their first day
  • Ensure appropriate documentation is received & logged on HiBob from new employees including evidence of Right to Work in UK, driving licenses, BPSS checks, new starter forms and PI
  • Request and coordinate all required security clearance checks for new starters

Learning & Development

  • Update and maintain training records and systems monthly
  • Produce training activity reports from the training platforms
  • Support and coordinate training events and activity as required

General People Administration

  • Draft and send out company newsletter weekly
  • Respond to external reference requests within 5 working days of receipt
  • Process resignations within 5 working days of receipt
  • Complete filing and update employee records on the People system
  • Respond to general employment queries, such as holiday/sickness bookings daily, via telephone or face to face from employees and managers, encouraging employees to selfserve in the first instance
  • Update and maintain our fleet management records, liaising with our fleet manager as required
  • Ensure the people system is updated including updates to employee profiles, workflows, surveys and forms
  • Process updates received from the people system software provider (HiBob)
  • Maintain and monitor records relating to our people including holiday, sickness, paternity and maternity leave and other absence in HiBob
  • Raise supplier POs annually as directed by the Head of People / People Business Partner
  • Liaise with payroll to ensure that they are updated of monthly payroll changes including new starters, leavers and pay changes
  • Update and maintain people forms, templates, processes and procedures
  • Support with employee engagement activities, including employee forums, roundtables and other relevant events
  • Minute taking in investigation and disciplinary meetings as required
  • General office management support as required
  • Support the with key projects as required

Your KPI's - be good at what you do

  • Recruitment
  • Achieve 90% of all 1 working day SLA targets
  • Onboarding and Induction ensure all elements are achieved within 1 month of a new starter joining date
  • Accuracy no more than 2 data input errors per month

YOUR QUALIFICATIONS & EXPEREINCE
You'll really need to know your stuff, which means you'll have:

  • Proven experience within a transferable HR/People role
  • Proven experience of data protection and GDPR requirements when handling sensitive personal data
  • Excellent Microsoft Office Skills (including Excel and PowerPoint)
  • Experience of using HR Information Systems (HRIS)
  • A CIPD qualification, level 3 would be advantageous
