The role:


Providing secretarial and administrative support to fee earners:

Key Responsibilities and Accountabilities:


  • Opening and creating new files.
  • Entering client details on the case management system.
  • Utilising the Firm's case management system to best effect.
  • Complying with the Firm's various policies and procedures contained in the office manual.
  • Proof reading of documents.
  • Issuing first letters.
  • Using Land Registry Portal.
  • Speaking to lenders, brokers and estate agents.
  • Keeping clients updated as to progress.
  • Completing precompletion searches.
  • Preparing letters, memos and bills.
  • Preparing completion statements.
  • Preparing postcompletion documents.
  • Filing Stamp Duty Land Transaction returns.
  • Filing.
  • Audio typing on digital audio system.
  • Maintaining diaries.
  • Making and taking telephone calls.
  • Taking messages.
  • Seeing clients in reception when necessary.
  • Dealing with new client enquiries.
  • Inputting timesheets on case manager.
  • Photocopying.
  • Completing cashier slips for cheques, cash and bank transfers or dealing with them via case manager.
  • Requesting files from storage.
  • Closing files.
  • Preparation of bills
  • Covering for others as required.
  • Ensuring the confidentiality and security of all practice and client documentation and information.
  • Ensuring that outstanding client care is given at all times.
  • Any other duties that are reasonably asked of you by the partners.
  • Super organised
