Credit Control Administrator DEPARTMENT Accounts


REPORTS TO Head of Finance


MAIN PURPOSE AND SCOPE OF THE JOB

In conjunction with other members of the Accounts team, the role is responsible for ensuring the accuracy and integrity of the policyholder ledger of RCIB, ensuring the timely recovery of amounts due to RCIB on behalf of a policyholder, and minimising the risk of financial loss to RCIB.


DUTIES AND KEY RESPONSIBILITIES

Chargebacks

  • Review and provide timely responses, online or by letter, to notifications of proposed credit card chargebacks received from card acquirers used by RCIB (Worldpay and Global Payments) ensuring the accuracy of the proposed chargeback and providing relevant evidence to defend RCIB against the proposed chargeback.
  • Action and resolve queries on chargebacks by phone with the card acquirer on a timely basis. Ensure appropriate diary actions for the Accounts team are maintained and followed up.
  • Ensure that the record of notifications received (Chargeback log) is updated with all new notifications received, progress made, and amounts either charged back or recovered through the bank account of RCIB.
  • Ensure that Customer Services are notified of the chargeback and a C7D letter issued to the policyholder on a timely basis. Diarise a review of the action taken by Customer Services.
  • Ensure that information relating to chargebacks is maintained on the OGI system, including diary notes, warning 'sticky notes' for operators, and financial information on amounts either charged back or recovered through the bank account of RCIB.

Policyholder ledger

  • In conjunction with other members of the Accounts team, extract a copy of the policyholder ledger from the OGI system and review balances shown to ensure that they are correctly stated. Process journals in OGI to allocate or transfer transactions as required.
  • Identify errors made in the policyholder ledger on a timely basis and inform the relevant Team Leader to ensure that action is taken to resolve and correct the incorrect data shown in OGI. Diarise followup action in personal diary.
  • Maintain a record of premium finance not yet received which is overdue and advise the Finance Team Leader in order that action can be taken where possible to release the payment to RCIB from the premium finance provider.
  • In conjunction with other members of the Accounts team, ensure that all cash received in respect of policyholders, or paid to policyholders, is accurately recorded, and allocated in OGI on a timely basis.
  • In conjunction with other members of the Accounts team, validate all requests for refunds to be paid to policyholders by bank transfer.

Other

  • Assist as requested with activities connected with the daily OGI cash book procedures carried out by the Accounts department.
  • Assist as directed with other tasks within the Accounts department.

EXPERIENCE

  • Previous experience within the Insurance sector, and understanding of insurance transactions, is essential
  • Previous experience of credit control activities is desirable
  • Experience of Open GI is desirable

KNOWLEDGE

  • Previous experience within a personal lines Insurance broker is highly desirable
