The role:

We're looking for a Team Administrator & PA.

You will support our People team with general administrative and team support (approx 50%), PA support to our CEO & Co-Founder (approx 25%) and general support to our Extended Leadership Team (approx 25%), which is made up of 2 Directors, 2 Managing Directors and 3 Co-Founders.

This is an excellent opportunity for someone who enjoys the fast pace and challenges that come with working for a high growth scale-up, and who wants to work in a position that has a high impact both in and out of the 'office'.

We have a full-time office in London, though are contractually based at home.

This means our team can choose whether they would like to go into our office whenever they like, or remain working from home if they prefer.


You will get to:

Every day will be different, but some of the things you'll be involved in are:

  • Admin duties from the full suite of HR admin (handling employee documentation, including contracts, recruitment paperwork and starter packs, benefits), supporting investor events and working on slide decks for client presentations
  • Acting as one of the first points of call for internal and external contacts, demonstrating Lightful values with everyone, internally or externally
  • Helping to plan, book and execute internal and external events. This could range from team socials to investor days
  • Supporting special projects to help the organisation to deliver on it's ambitious plans
  • Ensuring our CEO's day, week and month is efficiently structured, and logístically sound. It should be clear when and where he is to attend meetings (Zoom, Teams, Google Hangouts and soon, offices, cafés, restaurants )
  • Assisting with the diaries of other Co-Founders and Directors, especially when they need to work together and especially when meeting clients in person
  • Taking minutes and noting key actions from important meetings, confidently following up with attendees in order to maintain momentum
  • A cando attitude, willing to help wherever you can, no matter how large or small the task is they all contribute to the overall success of the company
  • Unquestioned integrity and impeccable attention to detail. You will have access to confidential and sensitive information and so you understand the importance of handling your duties discretely and efficiently
  • Experience working in an administrative role
  • Strong communication and interpersonal skills
  • Strong experience with the Google Drive Tools, Zoom, Slack and Gmail
  • Experience coordinating busy and evermoving schedules and understand how to juggle busy periods
  • Impeccably organised, and understand the importance of attention to detail when aiming to deliver standout quality in all that you do
  • An excellent written and verbal communicator who can positively reflect our company values and principles
  • Able to thrive in a fast paced environment
  • Passionate about working for Lightful and with nonprofits
  • Comfortable asking questions and seeking support when needed
  • Comfortable working with senior leaders
  • A good sense of humour

Any of the following would also be advantageous:

  • Experience in a scale-up business
  • Experience in a nonprofit or social enterprise
  • Previous administrative experience supporting multiple stakeholders
