Description
Gather information from systems/records for statistical collation and audits. *Provide support to training events e.g. away days, skill slots etc. involving the coordination of diaries, venue and hospitality booking as appropriate *Maintain electronic staff personnel files.


Managing work duties *Manage ID and Smart card appointment bookings, updating electronic system and sending joining instructions to our students/new starters following set processes.

*Carry out clinical diary management, booking rooms, managing patient appointments and updating electronic record system, professional meetings and resolving any queries with clinicians.

*Ensure referrals are actioned following the agreed procedures according to the defined performance targets and timescales.

*Retrieve and store records as required ensuring accurate information is recorded on progress of these records, their destination and delivery and support colleagues with issues arising.


  • Assist with Subject Access Requests when required from the Information Governance Lead retrieving notes from archiving or printing from electronic record systems. *Maintain the therapy sub store and restock working with external parties in maintaining sufficient equipment supply for the wards *Working with the therapy leads in sourcing therapy related equipment working in partnership with Procurement team using Oracle systems Team duties *Monitor and order stationery and leaflets, clinical and general supplies and place order request with line manager when necessary. *Attend and participate in team and other meetings, ensuring any actions are completed by the required date and to take minutes if requested. *Provide cover and support during times of absence for the core functioning of the administration team.
  • Offer guidance and training of Band 2 or new staff as required. *Maintain current office policies and procedures and be actively involved in their development. *Undertake limited supervision of Band 2 or new staff in absence of the administration supervisor and Business Administrator. *Provide administrative support to the administrator supervisor to set up and review administration systems and processes as deemed appropriate.
  • To update and maintain staff communication notice boards. *Proactively updating the notice and pin boards with relevant information Health Roster *Managing the Health Roster system accurately recording all sickness/absence and annual leave. Supporting staff with queries. Communications *Liaising by telephone or in person with students, colleagues and other healthcare professionals in a positive, friendly, calm and sympathetic manner, using good judgement to identify requirements in order to pass on information correctly or take appropriate action.
This may include dealing with complex information or where there are barriers to understanding.
