We are seeking a highly organized and detail-oriented individual to join our high voltage electrical engineering business as an Administrator.
As an Administrator, you will play a crucial role in supporting the smooth operation of our organization. Your work will ensure the efficient coordination of administrative tasks and the overall success of our projects.Key Responsibilities:
- Provide administrative support to the engineering team and project managers, including scheduling meetings, arranging travel, managing calendars, and maintaining project documentation.
- Assist in organizing and preparing project proposals, bids, and other documentation required for project submissions.
- Coordinate and schedule site visits, meetings, and inspections for the engineering team.
- Maintain accurate records of project expenditures, invoices, and contracts.
- Assist in the procurement of equipment, materials, and supplies necessary for project execution.
- Collaborate with other departments, subcontractors, and suppliers to ensure timely delivery of project requirements.
- Assist in the preparation of progress reports, presentations, and other projectrelated documentation.
- Serve as a point of contact for clients, subcontractors, and suppliers, addressing inquiries and providing necessary information.
- Support the coordination and logistics of project installations, ensuring adherence to project timelines and budgetary constraints.
- Assist in the preparation and submission of regulatory permits and documentation required for project compliance.
- Monitor and track project milestones, deliverables, and deadlines, updating project schedules and documentation as necessary.
- Maintain and organize project files, ensuring proper documentation storage and retrieval.
- Collaborate with the finance department to assist in project budgeting, cost tracking, and financial reporting.
- Perform general office administration duties, such as answering phones, managing correspondence, and ordering office supplies.
Qualifications and Skills:
- Previous experience in an administrative role, preferably in the engineering or construction industry.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in using office software, such as Microsoft Office Suite (Word, Excel, PowerPoint), project management software, and document management systems.
- Familiarity with project scheduling and tracking tools is a plus.
- Ability to work independently and collaboratively within a team environment.
- Strong problemsolving and decisionmaking skills.
- Professional demeanor and excellent interpersonal skills.
- Knowledge of high voltage systems, generators, transformers, and switchgear is desirable but not required.
