Job Summary


To be responsible for undertaking a wide range of administrative duties and the provision of administrative support to senior management and multidisciplinary clinical teams.

The successful applicant will work mainly from home but will be required to attend our places of business on occasion for training, meetings, etc.


Duties will include, but are not limited to:

  • Being the point of contact for all administrative issues relating to patients' pathway of care within Managed Healthcare Services (MHS).
  • To facilitate communication between Managed Healthcare Services Clinicians and the Client Hospital departments
  • Providing general administrative assistance to other members of the wider team.
  • Medical transcription

Applicants should meet the following criteria:

Qualifications - Essential

  • Be educated to GCSElevel as a minimum with grade C or above in English and Maths

Skills and Abilities - Essential

  • Be a selfmotivated, enthusiastic, and positive person who always takes pride in their work.
  • Be focused on providing a high level of service to patients and healthcare professionals
  • Demonstrate resourcefulness and have excellent time management skills
  • Have exceptional organisation skills, an eloquent writing style, the ability to multitask conflicting priorities and deadlines
  • Respond calmly and efficiently under pressure
  • Possess excellent verbal and written communication skills and be able to communicate clearly and confidently with internal and external contacts
  • Have a high level of attention to detail.
  • Experience in medical transcription in a hospital setting
  • Excellent medical terminology across multiple specialties
  • Be able to type 60 word a minute
  • Ability to work under pressure and meet strict deadlines is essential.
  • Flexibility and openness to change is essential
  • Can take the initiative
  • Be able to work well in a group and independently
  • Be able to work from home

Skills and Abilities - Desirable

  • Knowledge of Dragon software
  • RAS2 qualification

Experience - Essential

  • Have 12month minimum previous experience of working in administration or secretarial setting in a hospital or healthcare setting

Duties of this role include:


  • To be responsible for patient pathway management and ensuring daily operations around clinical admin and patient care run smoothly
  • Input patient and other data into logs/clinical systems as required in an accurate and timely manner
  • Be able to deliver quality health documentation to ensure uncompromised patient care by transcribing fast and accurately. (Audio medical transcription)
  • To conduct audits and produce reports as required.
  • To facilitate clinicians to be able to meet the KPIs of their service.
  • Maintain accurate databases of clinical queries and communications
  • Be the main point of contact with external agencies such as Hospital Trusts for clinical admin queries
  • To ensure that all communications (written and verbal) are passed onto the relevant person in a timely and accurate manner.
  • To consult with the manager to identify problems relating to client dissatisfaction
  • To attend meetings and take minutes as required
  • To support the CEO, management team and all clinical staff with general administrative requests as required
  • Type up letters, reports and associated documentation as required
  • To report all untoward incidents promptly to their line manager or as per the Incident Reporting Policy
  • To perform any other duties which may be required, and to provide cover for other members of the team due to absence when necessary.
  • To have a thorough knowledge of company policies and procedures and adhere to them
