This is a permanent, position working 37.33 hours per week on a three week rolling rota, working out of hours either 12am-8am or 4pm-12am.
Salary for this role would be £26,780.05 per annum.
The Facilities Management Assistant will be responsible for operating a Reception Desk, and a computerised system that controls a real time helpdesk monitoring reactive and planned maintenance work.
They will also need to assist with the provision of a suitably equipped and customer centred, secure environment for residents to live and to study in accordance with the license agreement.

£26,780.05 Per Annum / £12.85 p/h

The role:
Security and Health and Safety
- Carry out regular patrols of the residence and grounds, reporting any security/safety issues
- Monitor and control health, safety and maintenance standards within residence and grounds, reporting H&S issues and concerns to the residence management
- Control, monitor and supervise out of hours access to the residence, ensuring compliance with fire, health & safety procedures and any relevant residence instructions are provided
- Respond effectively to fire alarm activations and when required, liaise with the emergency services
- Provide a reception service to the resident, keeping records of all visitors, contractors and issue of keys
- Operate a computerbased property management database monitoring all reactive work and planned maintenance
- Deal with queries and complaints in an efficient, professional and courteous manner
- Parcel management processing and storing parcels
- Keeping spreadsheets up to date and uploading data to company computer systems
- Liaise, as necessary, with other facilities officers, university clients, subcontractors, UPP staff and residents.
- Communicate and handover relevant and important information for colleagues
- Organise with residents for maintenance and contractors to carry out necessary works
- Complete all necessary reports including incident reports, noise reports, accident reports and others as required
- Monitor the conduct of residents, encouraging reasonable and fair behaviour, reporting any breach of the Code of Conduct and license agreement to the residence manager as appropriate
- Provide evidence and reports when requested
- Communicate and handover relevant and important information for colleagues
Skills, Experience, Education and Personal Qualities - Essential Criteria
- Previous administrative experience and working knowledge of good office practice
- Ability to interpret and manipulate data with excellent attention to detail
- GCSE Maths and English
- Good interpersonal skills, preferably gained in a customerfocused environment
- Attention to detail carry out checkout and checkin inspections and document any issues
- Organised good time keeping, diary management
- Efficiency carry out tasks efficiently and at your own initiative on occasion to keep a well organised reception process
- Experience of administration in a facilities management environment
- Experience of administration in the education sector
- Proven ability of being able to work within a team as well as planning and prioritising own work
- Educated to 'A' level or equivalent
