Overview of the Role
This is an all-encompassing secretarial and administrative assistant role providing support to the London-based Client Servicing (50% time allocation), International Product (25%) and Distribution (25%) teams.
Key responsibilities will include:
- Operate in an international environment with attention to time zone implications of meeting scheduling and travel bookings.
- Provides general administrative support such as printing, copying, collating, couriering, supply management, phone coverage, etc.
- Manages complex calendars utilizing Outlook. Responds to and sends out meeting requests and ensures schedules are kept uptodate and accurate. Resolves meeting conflicts and handles reschedules to accommodate more urgent time sensitive requests. Keeps managers informed of upcoming appointments and deadlines.
- Coordinates various internal/external business meetings, appointments, video/conference calls, luncheons, events
- Organizes domestic and international travel arrangements. Reserves transport and accommodations taking into consideration manager preferences, cost and timing implications. Ensures that managers have necessary paperwork for travel including tickets, confirmation numbers, visas and itineraries.
- Prepares expense reports; reviews, reconciles and approves expense reports as proxy for manager. Escalates expense reports issues promptly.
- Creates and transmits correspondence, presentations, charts, tables and other memoranda using MS Word, Excel, PowerPoint and Outlook, often under tight deadlines, ensuring documents are produced error free and are grammatically correct.
- Initiates and sustains professional relationships with callers and visitors, including call management
- Covers telephones and takes accurate written messages and notes. Provides backup support for other administrative assistants.
