Rail & Civil Engineering

Location - York or Barnsley

An outstanding opportunity for a Design Administrator with Document Control responsibility, to join our team in the North / Eastern region based in either York or Barnsley offices, supporting the Engineering & Design Managers with day to day administration and document control tasks for a busy portfolio of rail infrastructure projects and maintenance works.

AmcoGiffen's project and framework portfolio typically consists of Infrastructure and Capital Delivery projects, Asset Maintenance frameworks, maintenance and renewals of railway and environmental infrastructure including but not limited to; bridge re-construction/replacement, upgrades and refurbishments, station work (platforms etc.), access for all schemes, structures including overbridges and under bridges, tunnels and footbridges, embankments, flood and coastal risk management, mechanical and electrical engineering, fabrication etc.

The Role


The duties for this role involve working with the Engineering Managers and Design Managers in our portfolio of works, including; arranging meetings, producing minutes, compiling design packages, chasing documentation from designers / clients and uploading to EB document control system for the controlled transmission and receipt of all documentation to and from Network Rail.

Day to day responsibilities will typically include but not be limited to:

  • Organisation of project / engineering associated documents.
  • This post involves coordinating with the different departments within the organisation and ensuring that documents are kept in the right location and are accessible to all internal services.
  • This role often involves working to strict deadlines and ensuring that all departments of the organisation are following the same procedures with regards to document control
  • In ensuring that documents are in the right location, they are categorised according to the type of document with the help of the document controller. This involves checking and approving documents before they are filed and liaising with internal and external parties to ensure that documents contain correct and understandable information with regards to their categorisation
  • Issuing of project documentation in line with Network Rail requirements for Project Wise & EB software.
  • Collating information form site teams for timely submissions on a weekly basis.
  • Update internal systems as required
  • Perform general, internal administrative duties, including stationary ordering, copying drawings, copying CDs and general photocopying.
  • Any other administrative duties as deemed appropriate by the region and line manager.

  • Good keyboard / PC skills and the ability to work to tight deadlines and under pressure
  • Good attention to detail and a professional and confident telephone manner
  • Excellent communication and interpersonal skills
  • Confident decision maker and problem solver
  • Good planning and organisational skills
  • Ability to liaise with managers to resolve issues
  • Work with mínimal supervision
  • Efficient analysis and resolution of administration problems
  • Demonstrate good reporting skills
