Functional Responsibility:

Financial administration and record keeping


Job Purpose:

To provide an accurate and efficient processing of financial data to enable the finance function to work smoothly for all areas of BWWMIND and to provide general administrative capacity as required across BWWMIND


Main Responsibilities

  • To be responsible for distribution of all invoices to the relevant budget holders for authorization, checking coding on invoices and posting transactions relating to the purchase ledger and the sales ledger in accordance with finance procedures and timescales
  • Uploading Invoices, budget holder authorisation and coding information provided by the Budget holder to Sage
  • Processing Supplier payments including writing cheques (only of necessary), running Bacs, processing DD, monitoring payment terms
  • Processing company credit cards expenditure and obtaining and storing all receipts from each card holder
  • To assist with company bank accounts reconciliation.
  • To lead process of petty cash claims, reconciliations of the petty cash account and investigate any discrepancies.
  • To be responsible for Bankline tasks online banking.
  • Raising sales ledger invoices as per timesheets for Community Befriending and Portugal Prints, checking & reconciling against Community Befriending payroll information
  • Prepare & process month end journal for Housing Rent and Void income for all boroughs
  • Liaising with Housing Officer regarding rent & arrears queries from tenants
  • Completion and submission of quarterly SHIP monitoring return forms for Brent, Westminster and Wandsworth. Liaising with the Housing Association for any queries.
  • Weekly recording of rent, any tenancy changes (start tenancies, end tenancies, internal transfers), on Wrapp software, including any adjustments. Being the central person overseeing Wrapp software, dealing with queries and upgrades
  • Weekly monitoring of tenant charge arrears and picking up on shortfalls in standing orders or issues with payments, submitting arrears report to Housing team and liaising with Housing team on any queries
  • Monitor all credit amounts on Wrapp software and raise any refunds for tenants where necessary
  • Monitor House Benefits (HB) overpayments and carry out the relevant refunds including adjustment on Wrapp software.
  • Set the housing rents budget annually for the Housing Association
  • Update the rent breakdown details for all properties on an annual basis Wrapp system?
  • To support the preparatory work for the year end accounts and the annual audit as required.
  • To answer the finance telephone, deal with enquiries and take messages
  • To cover for other members of the team as required
  • To provide administrative support to the organisation more widely as directed by the line manager including but not limited to: filing, data processing, reporting, analysis and servicing meetings.

PERSON SPECIFICATION

Essential

  • To be trained, or training towards the final stage of AAT Technician qualification or equivalent
  • To have experience of working in an accounts office, or equivalent
  • Intermediate level MS Office skills (particularly Excel)
  • To have good numeracy skills and high accuracy
  • To have strong oral and written communication skills
  • To be able to follow instructions, manage time, workload and work with a high degree of accuracy
  • To have a flexible approach to working, and be able to reprioritise in accordance with a changing workload and deadlines
  • To be honest, reliable and trustworthy
  • A commitment to equal opportunities

Desirable

  • To have experience of working with Sage Line 50 accounts
  • Understanding of processing petty cash
  • Experience of debt chasing and credit control
  • An interest in the voluntary sector and mental health
