Production & Sourcing Coordinator

The key areas areas of responsibility are:

  • Assist with the planning, coordination, and control of the businesses manufacturing processes for the Left Hand, ST95 and Hikerdelic brands.
  • Build long lasting relationships with our supply chain whilst always ensuring costs, quality and number of goods are correct.
  • Keep accurate control of material and finished goods inventory and liaise with Design, Sales, Accounts and Operations keeping them appraised of the delivery, of orders and deadlines at all times.
The specific tasks involved will include but not limited to the following:

  • 1. Assist with the management of the Departments Budgets, proactively flagging concerns and variances and reasons for and/or suggestions on mitigating any discrepancies found.
  • Building on the design process evolving the technical packs (Tech Pack) to comprehensively detail production for specifications, clearly communicating production techniques, garment detailing and measurements work. Study the Bill of Materials (BoM's), making any updates/amendments to materials, consumptions/ratings, and unit costs before sending out to manufacturers for pre-production samples (PPS) and Bulk Production.
  • Source (as required) substitute, improved and/or additional materials and alternative manufacturers that meet budget and lead-time requirements.
  • Ensure seasonal Critical Paths are kept up to date daily and ahead of regular Production Update Meeting, to provide a snapshot overview of tasks complete and/or overdue, tasks to be completed in the period and any future tasks that can be achieved earlier than scheduled. Flag any future concerns whilst offering proactive suggestions as to how to resolve and/or mitigate any delays to planned schedule.
  • Ensure accurate recording of ratings/consumptions of any materials used in the development process (at each stage) to ensure material consumption improvements are made at each stage of development process and that forecasts/budgets are not exceeded to ensure wholesale and retail margins are protected.
  • Assist Design/Development with the creation of graded specifications for all bulk production.
  • Assist with fit sessions, taking notes and following up to ensure patterns are altered and fit, fabric and construction comments are clearly relayed to the supply chain and ensuring preproduction samples are sealed to specification prior to bulk production adhering to the company's Critical paths/deadlines.
  • Maintain material inventory, keeping sufficient stock levels of repeat materials, allowing for supplier lead times and triggering replenishment orders in a timely manner, liaising with Design/Development for any shared needs, ensuring companies systems and processes are followed.
  • Manage multiple supply chains domestically and internationally across apparel and accessories, ensuring products are delivered to our exacting standards and on budget.
  • Work closely with all Suppliers in our Supply Chain and through regular visits (as needed) to handoff production, conduct quality control checks etc build close relationships. Identify and collaboratively solve technical issues in the production process, ensuring production and manufacture runs smoothly from sample sign off to bulk delivery.
  • Ensure agreed process is followed to ensure accurate inventory management and enhanced visibility for Accounts Department. This includes but is not limited to; raising any/all materials and manufacture (PPS + Bulk Production) Purchase Orders, Goods Received Notes (GRN's), Stock Transfers, Packing Lists/Dispatch Notes etc.
  • Ensure Supplier documents (Order Confirmations, Pro-Forma Invoices, Invoices, Credit/Debit Notes are checked against Purchase Orders for accuracy. Approve to Accounts Department resolving discrepancies and disputes with Suppliers in a timely manner, updating Accounts regularly on status.
  • Ensure that all material specifications, test reports and certifications are filed.
  • Undertake Quality Control (QC) checks for all production stages (pre, in-line and postproduction). Clearly communicate comments to suppliers being sensitive to language differences (if applicable). Ensure attention to detail and accuracy throughout including but not limited to, test reports, care instructions and labelling and packaging for production and sales.
  • You are responsible for managing goods from bulk production, through to the delivery from factories, into the company's warehouse, putting all relevant documentation in place, ensuring that the smooth, timely delivery is achieved. You will source and manage the most cost-effective freight companies for shipment of all orders from factories.
  • Management of the company's order management software, Uphance from producing Bill of Materials, through to factory PO's and customer wholesale orders, order confirmations and invoicing.
