HOURS: 40 per week, Monday - Friday

LOCATION:
Albert Road, Bristol - Office based

Administrative Assistant


Purpose of the role:

To provide efficient and effective administrative support to waste and facilities management service areas.


Key Responsibilities:


  • Compile and maintain resource administration, including local records systems and management information
  • Production of regular ad hoc reports and support both annual/periodical audits
  • Undertake general reception duties, welcoming visitors when required and ensuring office supplies are maintained for example printing, stationary and kitchen
  • Maintain noticeboards and company posters to ensure key and up to date messages are shared with workforce
  • Operate job allocation system/s, ensuring that all required response times are applied, following up queries with management as required and updating jobs with notes
  • Raising proactive jobs through the job allocation system/s
  • Work with the integrated support services manager and wider team to improve systems and processes, contributing to our digitisation agenda
  • Raising and GRNing Purchase Orders using Sage
  • Monitor department compliance as required i.e DBS and SIA facilities management compliance
  • Assisting operational staff
  • Note taker in meetings

Essential Requirements for the Role:


  • Demonstrable ability to prioritise tasks, manage time effectively to ensure deadlines are met
  • Relevant experience of maintaining and manipulating computerised/paperbased data/information
  • Demonstrable ability to work on own initiative, both independently and cooperatively as part of a team
  • Demonstrable ability to file and retrieve information, both in paper and electronic formats and an understanding of the need to handle information securely and confidentially
  • Demonstrable numeracy skills and be capable of undertaking accurate financial and other calculations
  • The ability to prioritise tasks and work under pressure
  • A problemsolving approach to work
  • Tact, discretion and respect for confidentiality
  • A pleasant, confident telephone manner
  • Flexibility and adaptability to changing workloads
  • Being highly organised and detailorientated is a given
  • A cando attitude
