Job Purpose / overview:


Based in the Military HR Office (Personnel Services Section (PSS)) in MOD Lyneham in Wiltshire, the role as PSS Supervisor provides a broad and flexible service to meet the contracted Personnel Administration requirements of the Military employed as a PSS Supervisor.

Responsible for a small team of administrators in a busy office environment in a rewarding position with opportunities to rotate through various elements of other supervisory roles gaining experience throughout all PSS and IMOS functions.

Training will be provided, where appropriate.


Secondary role:


  • On occasion, and only in the absence of the Information Management Office Services (IMOS) Supervisor. You will be required to oversee and supervise the IMOS team and the contractual outputs associated with that role

Responsibilities:


  • Supervise and direct the PSS team, utilising company HR policies and guidance.
  • Manage, maintain and deliver all Health & Safety requirements to the PSS team, including toolbox talks, team meetings and risk assessments.
  • Based at MOD Lyneham, this customer facing supervisory post leads a welldrilled and capable Personnel Support Supervisor (PSS) team, providing high quality output to the MOD Lyneham and DCTT Lyneham customer base. The role encompasses all aspects of specialised/Pay/Allowances/Travel/Resettlement/ Military Policy/ administration delivery, utilising and exploiting IT to best effect.
  • Conduct PSS monthly reports and checks, as directed by the PSS Manager and close out any subsequent actions identified.
  • Manage and facilitate the delivery of the PSS Office safely and efficiently, sharing best practice, within given timescales to meet all tasking, quality and compliance audits
  • Administration of Service personnel records, including data input in accordance with Business Process Guides and policy;
  • Innovate and promote the development and optimum performance of the PSS delivery teams, taking timely action to mitigate risk and potential for service failure.
  • Provide training/support and deliver PDR's to the team.
  • Responsible for all Health and Safety actions on Mitie SEVRON
  • Responsible for submitting all AVA actions
  • Checking and authorising expense claims;
  • Assessing and advising on pay and allowances entitlements
  • Provide company monthly stats to the PSS Manager.
  • Act as PSS Manager, cover absence.
  • Undertake any other tasks as determined by the Mitie Line Manager, including support/cover for other staff where required

Knowledge Skills & Experience:


  • Previous administration experience with strong organisational and motivational skills with a high degree of integrity and with some supervisory / team leading experience
  • Demonstrate the ability to manage and coordinate a small team and allocate resources appropriately
  • Ability to identify, prioritise and mitigate risks
  • Commensurate ability and experience of personnel line management
  • Capable of giving advice on military pay, staff reporting, resettlement, entitlements, service terms and conditions and other military HR related process
  • Proven track record of delivering quality service within a customer facing experience
  • Persuasive and credible verbal and written communicator with the ability to develop close working relationships
  • Proactive approach and the ability to embrace and manage shortnotice change
  • Knowledge of Joint Personnel Administration (JPA) desirable but training can be provided if required
  • Responsive to changing needs of the business and demands of the customer, while remaining calm under pressure and selfmotivated. Reliable and well presented, giving a positive image of Mitie company values.
  • Good all round standard of education

Additional Information:


  • Proof of Right to Work in the UK (essential)
  • Achievement of MOD Security Clearance (essential)
  • Requirement to work 37.5 hours per week (Mon-Fri) during core hours and flexibly as required
  • Local and some regional travel will be required
  • Required to wear approved Company work wear
  • Required to work in other Service Stream Departments to cover absence as directed by Mitie Management Team.
