Job Advert - Role Title: Estates Services and Admin Assistant

  • Fixed Term (37 hours per week) until March 202
  • Scale 3: Salary £23, £24,462.00 per annum
  • An opportunity has arisen to work as part of a busy help desk team within West Yorkshire Police's Estates Department. You will be the first point of contact for invoice queries relating to repair and compliance orders as well as organising and arranging planned maintenance visits so that expected service levels are met and that accurate records are maintained on appropriate systems and databases.
  • You will ensure the requests are logged, processed and monitored in accordance with agreed policies, whilst following procedures, processes, raising job requests and problemsolving invoice queries and work orders.
  • You will be expected to liaise with Force Contractors, Estates Facilities Officers, Maintenance Officer and the external Estates Helpdesk to ensure reactive repair performance meets expected target levels along with service agreements.
  • Applicants should be aware that it is not always possible to carry out adequate vetting checks on persons who have not been resident within the UK for the last five years. Therefore, where this applies, applicants may be refused on the grounds that it was not possible to vet them to the appropriate standard.
  • Purpose of this role: This role has been established under a varied role profile for a fixed term contract to support an existing function on an invoicing level. Due to this, this role profile differs slightly to the existing one.
  • Some of the elements in the role profile are no longer essential to this specific fixed term vacancy. These include being the first point of call for triaging repairs, dealing with internal and external enquiries, and processing vetting clearances.
  • Essential to this fixed term role will be the following alternative key outputs:
  • Use and manipulation of bespoke IT system for planning and prioritisation of pre-planned maintenance events
