The HR Systems & Insights Administrator is pivotal in supporting the operational day to day running of our HR systems including but not limited to:

  • HR Information System (HRIS)
  • currently supplied by CoreHR
  • Applicant Tracking System (ATS) currently supplied by iCIMS


Reporting to the HR Systems & Insights Manager, you will deliver system maintenance, support colleagues across the HR function and wider business with system and data related queries across all HR systems, and support effective change management processes on an ongoing basis.


Working closely with the Workforce Information Analyst where required, you will also help to ensure our data is well maintained and fit for purpose and that our systems enable this.


About the role:


Responsibilities:


  • Act as the primary support contact for system use queries across our HR platforms ensuring all queries are resolved & responded to in a timely manner.
  • Carry out day to day system administration activities for the HRIS and ATS e.g. maintenance of reference tables, creation of new posts, working patterns, access permissions and line management hierarchies.
  • Troubleshooting/fault finding and resolving system issues across all modules and HR platforms.
  • Carry out audit of both systems to identify areas where platform improvements can be made and to ensure HR Processes are being followed correctly.
  • Raise cases with suppliers, chase outstanding cases and track outcomes for lessons learnt training with the HR Team and incorporating any changes into manager process/ guidance.
  • Ensuring a continuous learning loop is functional across the business to ensure any issues or process changes are learnt from and embedded into daily processes.
  • Manage the administration of the Chane Management project board ensuring stakeholders receive regular updates on delivery timelines and coordinating stakeholder impact assessment process.
  • Assist with production of training materials including the maintenance of user guides, videos and other training materials as required. This may occasionally include delivering some face to face training and so travel across the UK may be required at times.
  • Supporting the HR Systems & Insights Manager with system upgrades, testing and organisational roll out of new functionality.
  • Assist the Workforce Information Analyst (as partial data owner) to ensure that data in the HR Systems is accurate, of high quality and fit for purpose.
  • Supporting with production of adhoc report requests from HR and Leadership in Operations and Central Support.

Location:

Ability to work remotely from home or hybrid working available in our offices in Brighton, Coventry, Leeds or Manchester.


About you:


  • Some knowledge of HR best practice and data governance methods ideally from either working in HR or operationally.
  • Ability to manage own workload, to prioritise effectively and to escalate issues where appropriate.
  • Excellent attention to detail and data quality ideally with some experience of maintaining data in HR systems.
  • Ability to remain flexible and adaptable in a rapid and changing environment.
  • Ability to communicate effectively with stakeholders at all levels, with the ability to handle ambiguity and investigate further to gain clarity.
  • Ability to handle confidential, sensitive matters and queries with a high standard of professionalism.
  • Ability to problem solve with a focus on continuous improvement.
  • Advanced MS Excel user and competent user of all other MS Office Suite programmes.
