Finance Assistant
Part time hours per week (over 4 days)

Responsibilities of a Finance Assistant
A Finance Assistant will be responsible for inputting financial data into the company's accounting records or book keeping software. They will keep records of any financial transactions that take place, including customer orders and credit notes. They will also create invoices, pursue late payments and issue receipts against the company ledger.
These typically include:
Sales Ledger
- Raising weekly sales invoices in Smart and transferring to Xero
- Raising credit notes in Xero as and when required
- Check all invoices raised and sent to customers
- Raising adhoc invoices in Xero
Purchase Ledger
- Checking supplier invoices to price quoted on Smart and querying discrepancies
- Inputting Supplier Invoices to Xero
- Reconciling supplier statements and requesting missing invoices
Credit Control
- Sending out customer statements
- Updating Debtors spreadsheet with actions taken to chase debt
- Agreeing suitable payments plans
- Dealing with queries
- Sending missing invoices
- Monitoring Customer Credit limits
- Taking card payments over the phone
Customer Service/ Admin
- Stationary and other adhoc orders
- Filing/Scanning and logging account documents
- Manage the filing, storage, archiving and security of documents meeting Data Protection requirements
- Managing incoming post and ensuring that queries are allocated to the correct department
Other
- Perform other related duties as required
- Work to deadlines
- Excellent accuracy and attention to detail
- Ability to organise work, priorities tasks and work to deadlines
- Computer literacy and IT skills transferable to bookkeeping software
- Customer Service skills for dealing with clients or suppliers directly
- Experience of working directly in an accounting role with responsibility for keeping records is desirable
- Experience with spreadsheets
- Ability to use own initiative
- Flexibility and open mindness
- Ability to work well with others
- Excellent communication skills, both written and verbal
- Time management and the ability to prioritise their workload and meet deadlines
- Ability to work independently
