About the role
Balfour Beatty are currently looking for a
Project Administrator to join our Power team based in
Motherwell
Within this role you'll coordinate and assist the efforts of the Project Management, Engineering and Design Teams involved in the execution of specified projects.
What you'll be doing
As a
Project Administrator you'll:
Timesheet Control
- Receive, process and record all site contract timesheets on a weekly basis. Sending to payroll for upload onto Oracle
Plant Sheets
- In conjunction with the relevant Project Manager and Site Staff keep a up to date plant sheet recording all onhire and offhires.
- Updating the Plantsheet on a weekly basis and pass to Team Coordinator for input onto Oracle R12
Risk Registers
- In conjunction with the relevant Project Manager maintain Risk Registers in line with contract requirements
Plant and Materials
- Ordering plant and material from internal and external supplies arranging transport if required and liaising with Plant Desk if repairs/replacements are necessary.
Waste Transfer Notes
- Enter all Waste / Special Waste Transfer notes onto the Environmental Database at the end of each month.
- Check all new subcontractors have full licenses and enter onto database
Document Control
- Control of all Incoming and Outgoing Correspondence, Project Files, Standards Library, Design Log, Minutes of Meetings and other project related documentation.
Site Start up Files
- Issue and maintain Site Start up Packs for Contracts
Meetings
- Prepare documents for close out of contract meetings and submit documents to client as required.
- Take meeting minutes as required by the Project Manager
Vehicle Reports and Tracking
Checking that all vehicles are allocated to the correct contract on a weekly basis, monitoring permit to drives and drivers report.
General
Ensure general health and safety is maintained and project related administration duties carried out in line with Business Management System as and when required
Administrative Duties
- General duties for example: Minutes of Meeting, Photocopying and Scanning and any other ad hoc assistance as required by the company
