Description

Working closely with a supportive trust-wide leadership team, this personal assistant post will support the Long Term Conditions Strategic and Operational Lead and Psychological Medicine Clinical Lead.


Based in Oldham, the postholder will be responsible for ensuring efficient diary management for both roles, managing communications and maintaining accurate record keeping.


With substantial administrative experience, the post holder will act as a key point of contact for a range of management issues including service resourcing, organisation of meetings and maintaining confidential records of meetings and line management supervision.

To support the Service Leads in completion of their work, progressing tasks on their behalf towards completion.

Provide an accurate and efficient administrative and secretarial service to the Service Leads


Psychological Medicine forms a network of services across Pennine Care NHS Foundation Trust working with people with persistent physical symptoms and psychological distress as well as people with atypically high use of healthcare services.

The teams are multidisciplinary comprising of psychiatrists, psychological therapists and mental health practitioners. Services are led by a consultant psychiatrist, consultant psychologist and operational and strategic manager.

Pennine Care NHS Foundation trust covers Bury, Rochdale Oldham Tameside and Stockport boroughs. There are currently 9 psychological medicine teams in the trust, spanning each of the boroughs.


Plan and schedule diary commitments for the Service Lead on a day to day basis, making the most efficient use of their time and incorporating a 'bring forward' system, ensuring documentation is available prior to scheduled meetings.

Arranging Senior Manager level meetings involving Service Managers, which includes Away Days, weekly and monthly meetings. Confirm details in writing to participants, booking room accommodation and setting up IT equipment as necessary.

Provide a minute taking service for Senior Management level meetings, compiling and distributing agendas, reports and minutes.


Establish and maintain office systems in an efficient manner, ensuring easy retrieval of information and operation of a 'bring forward' system for matters outstanding, using own discretion to follow up matters appropriately.

Organising and maintaining an efficient and effective filing system.

Ensure telephone calls are dealt with in an efficient, courteous and professional manner. Greeting visitors, providing them with information and hospitality.

Ensure messages are accurately recorded, prioritised and brought to the attention of the Service Lead.

Co-ordination and recording of annual leave, study leave, sick leave, IPDR's via ESR self-service.

To collect information and produce weekly reports as necessary.

Place non-stock orders as required via the e-procurement system. Monitoring and receipting goods as necessary
