Merrifield Consultants are thrilled to partner with an
International Membership Organisation to recruit an Administrator on a permanent basis.

The successful Administrator will be responsible for the Day to day administration and support to the Divisions Department

Salary:
£26000/annum plus Benefits

Hours: 9:30 AM to 5:30 PM
Hybrid: 2 days a week in the office

Contract:
Permanent


The successful Administrator may need to travel to their mid-year conference outside of the UK in May (up to 5 days) and the annual conference at the end of October 2023(up to 10 days away).


Key Accountabilities:


  • Developing and managing the Projects database keeping an overview and ensuring there is coordination between projects where necessary through active involvement and liaison with Division and Committee Officers, Projects Committee, the President, RegionalOffices, the Executive Office, LPRU and HRI.
  • Ensuring quarterly updates are made to the projects database initiating follow up with project leads where necessary
  • Providing administrative assistance to the Projects Committee preparing and circulating reports, memos, agendas and minutes;
  • Providing administrative support to the Diversity and Inclusion Council organising conference calls, preparing and circulating reports, agendas and minutes and managing the eChallenge Training Tool
  • Assisting in the preparation of Agendas and minute taking for the Constitution and Governance Committee Meetings.
  • Data entry on the database maintaining officer records and distribution lists
  • Assisting the Divisions in the process for Council and Committee nominations and appointments;
  • Providing assistance to the Divisions in producing and distributing reports, memos, agendas and minutes for Officer, Council and Committee meetings
  • Preparing copy for the Annual Conference programmes
  • Providing assistance to the Divisions in the preparation of session material for the Annual Conference Programme / providing support to speakers and speaker processing for the Annual Conference / maintaining an overview of speaker expenses for the AnnualConference / processing speaker expenses preparing paperwork for accounts in relation to the Annual Conference
  • Providing assistance to the Divisions by answering general queries, assisting in preparing officer travel budgets, and maintaining an overview of the Officer travel calendars.
  • Attending and providing technical support to online Committee Officer meetings and member retreats

Skills and Experience

  • Experience in an administrative capacity in an office environment
  • Experience in prioritising and managing own work load
  • Experience in accurate and timely administration
  • Experience in scheduling formal and informal meetings (online and inperson) and conference
  • Secretarial skills or PA experience
  • Excellent written and verbal communication skills in English;
  • Competence and advanced knowledge in using MS Office (particularly Word, Excel and Outlook) and Zoom.
  • Good writing and communication skills
  • The ability to work as part of a team
