We are looking for an enthusiastic person to join our friendly team working in the Surgery, Women & Children's Directorate based at the Great Western Hospital as a Medical Secretary within Paediatrics.

Your role will be to provide to provide full secretarial role to consultants and their teams.

This will involve typing clinic letters and other related documents with high accuracy and in line with agree Trust targets.

You will be working 37.5 hours per week.

Work as part of a team providing a full secretarial service.


This will include the following:

  • Prioritise workload according to service requirements and urgency; working on own initiative and referring to the appropriate manager as required.
  • Using Microsoft Office IT packages and databases to provide efficient, high quality admin services including audiotyping.
  • Type correspondence relating to other areas of the Consultants' work.
  • Complete administrative tasks and typing relating to Safeguarding children.
  • Ensure each patient who has an episode of care in the Department has all the relevant details relating to his/her care - correspondence, diagnostic investigation reports etc. - documented and filed appropriately in the notes, as soon as is practicable, upon receipt/despatch.
  • Arrange appointments as necessary.
  • Assist the Consultants to plan their time effectively and maintain a diary of appointments as agreed with the Consultants.
  • Responsible for templates regarding new clinics/clinic cancellations/clinic amendments for Paediatrics.

  • Take minutes as and when appropriate.
  • Work as part of the Women and Children's team to establish computer and paper systems to maximise the efficient running of the Department.
  • Liaise with other departments as necessary to make appointments, obtain case notes etc.
  • Chase up patient information/reports as necessary. Ensure all diagnostic test reports are brought to the attention of the relevant Consultant and actioned appropriately.
  • Answering telephone queries politely, promptly and in a professional manner.
  • Dealing with queries as they occur throughout the day and passing on messages promptly to the appropriate parties.
  • Liaising with staff throughout the Trust and from outside agencies concerning patients under the care of the Consultant.
  • Retrieving case notes from Medical Records as and when required.
  • Preparation of resources for teaching, lectures and presentations, as and when required.
  • Effective use of time management skills to prioritise workload.
  • Input data and maintain databases relevant to the service.
  • Participate in Appraisal, undertaking training and development as identified by the management team.
  • There will inevitably be peaks and troughs in workload and you will be expected to assist with work from other members of the team as necessary, including typing, answering the telephone and taking and actioning messages and enquiries. This will also include providing cover for other members of the team during annual/sick leave.
