Overview:


John Bean Technologies Corporation (JBT) is a leading global technology solutions provider to high-value segments of the air transportation industries.

They design, manufacture, test and service technologically sophisticated systems and products for their customers. The Business Planning Co-Ordinator serves as representative to ensure customer requirements are met from receipt of order to delivery.

Throughout the order process continual liaison between Sales, Engineering and Operations, for all aspects of order management, customer interface, inspection and delivery coordination.

Responsible for quoting and coordinating the shipment of product, preparing shipping documentation and other records to ensure compliance with necessary procedures.


Responsibilities:


Sales Order Coordination

  • Main point of contact for all customer order, liaising with Sales team and other functional departments
  • Review and verify all sales documentation, ensuring accuracy, consistency, and obtaining advance authorisation for any deviations in the order. Ensure follow up with either Sales or Customer Service team on any incorrect or missing information.
  • Review price lists/ specs to resolve any issues/discrepancies with Sales and Engineering before submitting for final Bill of Material (BOM) preparation
  • Ensure that all Terms & Conditions. Delivery and payment terms have been reviewed and approved by the relevant people
  • Verify and coordinate specifications and customer delivery, with current manufacturing schedule and ensure the build schedule is executed consistently in line with customer expectations
  • Coordinate any special requests either with customer or internal departments that may arise, such as extra manuals/language/letters of credit/inspections/training/extended warranty painting etc.
  • Coordinate customer inspection visits with the Sales/Aftermarket teams and follow up on any action points from these visits.
  • Complete all customer background checks through MK Denial and coordinate with relevant internal departments accordingly

MOD Coordination

  • Act as interface between JBT and the MOD
  • Liaise with relevant internal teams to ensure appropriate documentation is maintained and remains compliant.
  • Coordinate and act as lead to obtain information from Service & Warranty Coordinator, Aftersales, and Field Service team ensuring compliance and identify training needs as and when needed.
  • Ensure appropriate documentation is processed through the TAF portal
  • Ensure product sign off and appropriate invoicing takes place oversee and coordinate with relevant departments
  • Monitor Exostar payment portal
  • Work with relevant internal departments and oversee Military Export control, ensuring military Export licences through ECJU for all equipment/spare parts and completed correctly and maintain logs for relevant ECJU audits

Traffic/Logistics/Exports

  • Coordinate quote management between internal and external requirements
  • Utilise build schedule as planning document and ensure all transportation is scheduled effectively and in a timely manner with service providers
  • Proactive plan all shipping dock requirements
  • Monitor, track and report on all transportation activities with service providers, customers and Sales, providing timely shipment updates, tracking status and ETA of products
  • Coordinate with relevant internal departments to ensure that all documentation for shipping is completed accurately (BOL, Export Doc's, decelerations, Lc's etc).
  • Oversees and approves all freight invoices for accuracy before processing for payment

Other duties

  • Prepare and conduct Long Range Planning meeting on a monthly basis, aligning customer demand with production planning
  • Review bid and tender documents as necessary, initiating risk memo reviews
  • Assist with tracking and reporting demo units as and when required
  • Assist to maintain the Sales Agent and Distributor agreements and files held on Sharepoint
  • Attend weekly production meetings which include: Build schedule and RTB to monitor production progress and all other assigned meetings by your supervisor.
  • Provide timely order status updates to Supervisor, Sales, Manufacturing and customer as necessary
  • Facilitate customer requests as necessary, i.e. issue CE and COO certificates
  • Ensures that communication externally and internally is answered timely and effectively
  • Prepares and updates the inbound and backlog for management
  • Assist in providing metric to Management including but not limited to Pricing, discounts, on time deliveries and sales history as required
  • Participate as required in any future development projects /opportunities
  • Manage and maintain effective housekeeping practices
  • Promote and adhere to JBT Core Values

Qualifications:

Knowledge/Qualities

  • Demonstrated industry experience in a similar discipline
  • Understanding of engineering / manufacturing environment, technical support system, order entry process a
