Who we are
Waterloo Uncovered (WU) is the ground-breaking charity that combines world
- class archaeology with veteran care and recovery. Since 2015 we have been taking veterans and serving military personnel to the Waterloo Battlefield to take part in our Excavation Programme; a two-week archaeological experience combined with wellbeing support to help them with their recovery from the traumas of war.


Since the charity's inception we have supported over 300 veterans, serving personnel and military spouses and have added significantly to what we know about the Battle of Waterloo.

We are now looking for a Fundraising Assistant to join our team and help us achieve our ambitions.

As a Fundraising Assistant, you will be a valued member of our small, dynamic, and passionate team.

You will work with the Head of Fundraising to help WU increase and diversify the charity's income, develop and maintain supporter relationships, and support the delivery of key fundraising activities.

An important aspect of this role will be providing administrative support across WU fundraising activities.

  • Be passionate about WU's work supporting veterans through archaeology;
  • Be extremely organised and detail oriented;
  • Have administrative experience, including diary management;
  • Have a desire to develop a career in the charity sector;
  • Be a team player and willing to get involved and support the wider team as required;
  • Have experience in relationship management, including using databases for effective marketing and/or fundraising;
  • Be able to manage a varied workload and multiple deadlines at once;
  • Be a selfstarter, resourceful and selfsufficient.
Experience of working in the charitable sector is desirable, but not essential. Passion for heritage is a must


Fundraising Assistant Overview

  • Hours: Full time, 37.5 hours per week
  • Salary: £25,000
  • Reports to: Head of Fundraising
  • Location: East Sheen, London in between Putney and Richmond. We are open to flexible working arrangements but regular presence in our London office will be required.
  • Benefits include: 22 days holiday plus bank holidays, Pension 3%, Two weeks in Belgium each summer to take part in our excavation programme, mental health first aid training.

Key responsibilities:


Donor/Supporter care:


  • Manage the thanking process for all supporters and donors in a timely manager, appropriate to their level of support, personalising all 'thankyou' letters.
  • Work alongside colleagues to ensure that all administrative processes are in place to keep donors engaged with WU's work following a donation, making suggestions to improve or streamline our service where possible.
  • Proactively communicate updates to donors as appropriate, spotting wider opportunities for WU's income generation.

Fundraising:


  • Provide supporters with fundraising materials to maximise their events or activities.
  • Support the recruitment of participants for our events and community fundraising activities, identifying potential prospects, and making approaches.
  • Oversee event and community challenge timings and supporter life events, tailoring this into the supporter journey.
  • Contribute fundraiser stories, images and quotes to assist with communicating fundraising throughout WU's external communications e.g., social media, website and newsletter.
  • Support the Head of Fundraising and the wider team with other projects, reporting or administrative tasks as required.

CRM/Database:


  • Inputting and tracking income from donations including from third party fundraising platforms and individuals.
  • Input and maintain accurate and detailed records of all supporter interactions on our database.
  • Process and log mail received, e.g., from appeals or campaigns.
  • Produce reports as and when needed by the Head of Fundraising.
  • Support the Head of Fundraising and Office Manager with information queries and reconciliations between database and bank accounts as required.

Administration:

In collaboration with our Office Manager; managing the day-to-day administrative duties of our London office, specifically to support fundraising.


  • Actioning of incoming/outgoing mail
  • Office maintenance
  • Diary management for the Head of Fundraising
  • Administrative support to the other team members when needed.


All WU team members are expected to play their part in our public education and awareness events and therefore attendance at other locations in the UK and sometimes outside of normal working hours will be required on occasion.

Expenses and time off in lieu are offered.

All WU team members are expected to take part in the two-week annual excavation in Waterloo, Belgium. Transport, accommodation, and meals are included for the duration of this trip, and it is a lot of fun
