Nightingale Healthcare Solutions is opening a new branch in Bristol, we are looking to build a trustworthy office team. We are a successful care Agency and have been running for 5 years.


Purpose of the Role
The Trainee recruitment consultant is responsible for the day-to-day running of the branch beside the Recruitment Consultant.

Booking shifts, effectively matching the staff to the clients according to both preferences.

Excellent organisational and communication skills, together with a calm and supportive manner are vital for this important role in our company.


Summary of Key Responsibilities

As the Recruitment Consultant you will need to:

  • Ensure all bookings are covered by suitable staff, staff are informed, and clients are sent confirmation.
  • Manage recruitment processes including initial contact with applicants, interviews, checking documentation, training & DBS, inductions, references, etc. preparing staff for work.
  • Daily contact with staff and clients in a professional and positive manner, treating staff as equally important as clients. Building strong relationships with both is very important to the company.
  • Communicate effectively with staff in other branches and directors where necessary, to ensure smooth running of the branch.
  • Making sales calls and accompanying others on visits to build the business and sign up new clients.
  • Continually strive to find the most effective methods for recruitment and be creative in ideas and use of resources to maximise the number of applicants.
  • Take part in the out of hours emergency oncall rota. Covering cancellations last minute, fielding emergency queries from staff, booking extra shifts and taking complaints from staff and clients in a professional manner.

Coordinator Duties

  • Have a good working knowledge of the staff and clients' requirements to match the skills and experience of carers to the needs of our clients, taking location and travel time into account so that the service runs smoothly, efficiently & cost effectively.
  • Manage staff availability and input into Pulse.
  • Ensure clients are aware of any pregnant workers or workers with severe health conditions and send any relevant paperwork with confirmations.
  • Add new clients/locations to Pulse, Google homes list and phone contacts.
  • Add file notes to Pulse whenever relevant including lateness, cancellations, complaints from drivers, staff & clients, and other relevant information.
  • Keep client and staff preferences and bans up to date in Pulse.

Recruitment Duties

  • Complete the new worker information profile following their interview.
  • Check right to work in the UK and complete relevant paperwork.
  • Ensure risk assessments for DBS and/or pregnancy are completed.
  • Send for and chase up 2 work references preferably (or 1 work & 2 character references), include the most recent workplace (inform manager if not possible).
  • Add new staff to Pulse, Google Staff List, phone contacts, etc.
  • Run staff induction meetings to explain timesheets, scanner apps, confidentiality, run through handbook, etc.

Other Duties

  • Build strong working knowledge of IT systems, including Vcita, Google, Microsoft & Pulse, to perform the tasks required of the role.
  • Ensure that all information relating to clients, staff and service users and their families is kept confidential and stored securely.
  • Work with the office team to ensure any contact from staff is recorded and messages are passed on to the appropriate person including payroll queries, training enquiries, complaints, etc.
  • Report any issues you experience with staff or drivers and/or any complaints you have about your colleagues or duties to management.
  • Carry out general office duties, including all admin relating to the role.
  • Assist and comply with any investigations relating to the quality of the service and implement improvements.
  • Work with the Nightingale Healthcare Solutions' care team and other health and social care professionals to deliver high quality services in a professional manner.
  • Always comply with Nightingale Healthcare Solutions policies and procedures, upholding core values of the company.
  • Maintain a profession appearance and attitude at all times.

Person specification

  • Prior experience in an office environment preferred.
  • Ability to follow complex processes without error or omission in a fastpaced and evolving environment, working effectively under pressure.
  • Excellent customer service and communication skills between office staff and treating HCAs and clients as equally important.
  • Computer literacy, including proficiency in Microsoft Office programs
  • Attention to detail and highly motivated.
  • Very well organised, able to prioritise and work without supervision.
  • Excellent time management and decision
