The post holder will provide and co-ordinate administrative and secretarial services to the team and consistently deliver good customer service and effective working relationships


This will include:
Preparation of agendas and minutes, taking appropriate follow-up action as required. Supporting the team with the management of specific contracts and projects. Gathering information and undertaking enquiries as and when necessary.

Managing communication and correspondence from members of the public and contractors, as well as leading on particular areas of across team support.

This is a short-term vacancy.

  • Taking telephone calls for others in the department and use initiative when dealing with phone calls and messages.
  • Joining meetings via Teams in relation to supporting the individual 'hub' or across the wider team as required.
  • Managing the electronic diary for the department, including arranging and changing appointments
  • Organising /planning events as directed
  • Required to input, monitor and check data produced and required for ongoing programmes and
  • Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information as appropriate.
  • Supplying the relevant information required for financial management, supporting the head of department and teams by checking and sending invoices for payment.
  • Running and collating reports to the Senior Management Team as required.
  • Develop and maintain effective electronic and paper filing systems, to ensure information is kept securely and is accessible to other members of the team
  • Preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews as necessary.
  • Working with administrators/PA's across the organisation to provide an effective network of communication including dealing with visitors to the base
To carry out other appropriate delegated duties as required


The South West Specialised Commissioning team is a dynamic, geographically dispersed team responsible for commissioning both acute and mental health services from NHS and private sector providers.

It is part of an integrated Commissioning Directorate which includes Health and Justice, Public Health and Primary Care commissioning. We work in a matrix way internally across functions. Increasingly this will include Integrated Care Systems as we develop our joint commissioning strategy.

Acute Commissioning


This role specifically supports the delivery of the acute commissioning portfolio, comprising over £1.5 billion of contracts from both NHS and Independent Sector healthcare providers from Cornwall up to Gloucester and across to Dorset.

You will work as part of a support function, as well as working with your immediate 'hub' team.

You will have peers with which to work and establish support and cross cover arrangements as a pivotal role in supporting the team in all aspects of commissioning administration.

  • To provide and support the team with a wide range of administrative and computer skills as well as building and maintaining a range of knowledge and understanding or procedures, protocols and functions
  • To be the first point of contact, communication and administrative support for a number of organisations, directors and staff within the directorate
  • Provide and receive information which may contain an element of contentious and sensitive information
  • Updating and maintaining data bases and/or spread sheets relevant to work area, manage meeting arrangements including the preparation of agendas and the taking and distribution of minutes, reports and associated papers in a timely manner
  • Communicating and engaging with external and internal stakeholders which may require negotiation skills and understanding the needs/requirements of other organisations, senior professionals and individuals
