We have an exciting opportunity for a motivated and driven Administrative Assistant to join our dedicated, friendly, caring and supportive Divisional Administration Team within the Acute Adult Care Division.

The role is a full time position based at the Royal Bolton Hospital.


An essential part of the role:
Good general level of education including Maths and English;
Knowledge and experience of Microsoft packages, particularly Outlook and Word as you will be using these on a daily basis;
Flexibility, show initiative, able to multi task and be adaptable to the needs of the role, team and service;
Experience of working within an administrative role or setting;
An understanding of confidentiality and data protection regulations; and

Good planning and organisational skills and the ability to communicate effectively in a pleasant and approachable manner

You will proactively provide assistance within the following areas:
Diary management to several Managers

Preparation of agendas with accurate note taking at meetings transcribing of minutes and action log up-dates

Booking of rooms across the site and with other organisations

Use of Microsoft packages

Support with organisation of events/workshops

Cover within the Team in the event of annual leave and sickness absence.

DUTIES AND RESPONSIBILITIES
Management of Operational Business Managers diaries and assist with Senior Management diaries.

To provide assistance with the arranging of meetings. Provide minute taking and cover at meetings including preparation and circulation of relevant documentation.

To work jointly with the Senior Administration Officers to maintain clerical and administrative processes within the department.

To assist in the delivery of administrative support within the Divisional Administration Office.

To assist with the organisation and management of information systems.

To assist with distribution and maintenance of mandatory/statutory training reports

To assist with the booking of meeting rooms.

To ensure robust clerical systems are maintained.

To demonstrate effective office skills.

To provide clerical support to Senior Managers and Matrons as appropriate under the direction of the Senior Administration Officers.

To undertake mandatory training as in line with organisational policy and attend updates as appropriate to the post.
