Job summary

As an Operations Assistant at The General Wine Company, you will be at the backbone of our daily workflows, ensuring the smooth and efficient running of all operational and logistical processes.

Responsibilities

• Accurately create and submit all Purchase Orders for wine and related goods from domestic and international suppliers using the company's ERP system.
• Follow up with suppliers to confirm receipt of POs, verify pricing, expected delivery dates and required documentation.
• Collect, organise and verify all necessary inbound documentation, including Pro-Forma Invoices, Packing Lists, and Certificates of Origin, ensuring they meet customs and internal requirements.
• Communicate expected supplier readiness dates and coordinate the timely booking and scheduling of container/truck collections.
• Cross-reference supplier invoices against initial Purchase Orders to identify and resolve any discrepancies in quantity, product, or cost before payment is authorised.
• Maintain professional and proactive communication with suppliers regarding order status, logistical requirements and any potential delays or issues.
• Ensure the inventory management system is accurately updated with expected stock arrivals, landed costs and product details to allow for accurate sales forecasting.
