Job description:


Our team sits within Markets South in the Rail Infrastructure and Services Delivery Group that provides industry leadership for the shape and direction of the outputs from Britain's railway.

We are responsible for ensuring the successful development, specification and procurement of rail services and the day-to-day management of National Rail Contracts.

Working as part of the Thameslink, Southern and Great Northern (TSGN) and South Eastern Market team, you will provide Personal Assistant (PA) support to the Market Lead.

You will be a self-motivated team player with good organisational skills and a keen eye for detail. You will have access to sensitive information so above all you will be trustworthy, loyal and discreet.


You will be joining a high-profile area of the team also providing corporate support to the TSGN and SE Market senior leadership team and will be expected to lead defined areas of work, taking ownership of process, outputs and outcomes.

This will provide a fantastic opportunity to gain experience in areas of risk management, stakeholder management, contract management and project management.


Responsibilities

Key accountabilities of the role include:

  • Providing PA support to the Market Lead including diary management;
  • Arranging meeting rooms and greeting and notifying reception of external visitors;
  • Producing periodic performance reports for senior management highlighting risks and issues as they arise;
  • Developing and maintaining risk registers;
  • Taking minutes of external meetings and tracking actions to completion;
  • Be proficient in the use of Microsoft Office packages e.g. Word, PowerPoint and Excel;
  • Business / Project Plan maintenance, including identifying and monitoring dependencies and workstream progress;
  • RACI (Responsible, Accountable, Consulted and Informed) Matrix update and management;
  • Contributing to advice and briefings for Ministers;
  • Contributing to correspondence from external stakeholders and the public;
  • Building and maintaining relationships with internal stakeholders and external suppliers, including the management of Ministerial briefings and event logistics;
  • Supporting the commercial team in the effective management of National Rail and Service Contracts, working flexibly across the team as required.

Person specification:

You will have proven experience of using MS Office software - especially Outlook, Word and Excel.


You will be able to organise your own work to achieve results and have the ability to work under pressure adapting to changing priorities.

You will be a confident communicator, able to build collaborative relationships with colleagues and stakeholders.


Additional Information


A minimum
60% of your working time should be spent at your principal workplace, although requirements to attend other locations for official business, or carry out detached duty in another DfT workplace, will also count towards this level of attendance.

Occasional travel to other DfT offices will be required.
