We are looking for a Quality Administrator / Archivist who will be responsible for compiling, maintaining, filing and distributing documentation both internally within the department and externally around the Porton Down site.


MAIN DUTIES AND RESPONSIBILITIES

  • Full management of Engineering Archive
  • Evaluate/develop and manage an index system (paper base and software)
  • Manage O&M materials
  • Filling and scanning documentation
  • Carry out environmental, preservation checks
  • Carry out inventory and disposal tasks in line with the retention procedure
  • Reorganisation of archive
  • Dispose of obsolete materials as per the company standards
  • Manage inboxes and respond to queries
  • Update training database and liaise with colleague/stakeholder for completion of Mandatory/SOP training
  • Work to UKHSA Quality procedure and seek advice from the Quality Manager on all matters relating to Regulatory and Statutory compliance.

  • Accountable for ensuring that Regulatory activities are carried out, in compliance with UKHSA Quality System.
  • Participate in Internal/External audits carried out against the Department/Organisation
  • Report & investigate corrective and preventative actions, accidents and incidents.
The above is only an outline of the tasks, responsibilities and outcomes required of the role. You shall carry out any other duties as may reasonably be required by your line manager.
We are looking for an individual who- Ideally has previous experience in an archive/quality administration role within an engineering function

  • A knowledge and understanding of quality assurance
  • A highly organised individual with the ability to multitask within a timescale and work efficiently under pressure.
  • A strong communicator with a high standard of verbal and written English
  • Ability to work proactively both individually and as a team, with a flexible attitude to help the business with other needs where required.
  • Strong skills working with Microsoft programmes.
  • PROFESSIONAL DEVELOPMENT

You should pursue a programme of continuous professional development in accordance with any relevant professional registration or statutory requirements, whilst maintaining appropriate awareness of service provider requirements.

You shall be expected to identify, discuss and action own professional performance and training / development needs with your line manager through appraisal / individual development plan.

You shall also be expected to attend internal and external training events and participate in all mandatory training as required, i.e.

fire safety, information governance and all other mandatory training.

    EDUCATION and EXPERIENCE
High school diploma or general education degree (GED) and a minimum of two years of related experience and/or training.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
FINANCIAL KNOWLEDGE
Requires general knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
REASONING ABILITY
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
OTHER SKILLS and ABILITIES
Intermediate experience with Microsoft Office Suite.
SCOPE OF RESPONSIBILITY
Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
