JOB Overview


The purpose of this role is to offer administrative aid for RCH upcoming hotels, involving Sales & Marketing, HR, and operational assistance.

Additionally, the role will involve providing support to the Chief Executive Officer of Rogue City Hotels by helping to handle their workload and assisting them with tasks


Duties and Responsibilities

Administration

  • To assist in providing a secretarial and administration service to the CEO
  • To review the endofday report daily, check for discrepancies, and address any situation document before CEO's knowledge.
  • To Monitor the reservations inbox, respond to general inquiries including groups and events.
  • To Check and respond to all reviews and correspondence on all OTA sites.
  • To develop, maintain and review administration systems to achieve maximum efficiency.
  • To support The Hotel Team in projects, proposals, bids, etc. through research, consultation, teammanagement
  • To assist in ordering samples and cataloging operating supplies and equipment for the preopening
  • To assist in creating and implementing HR procedures
  • HR administration keeping all documents up to date and ensure all documents are filed and stored correctly and according to GDPR
  • To check daily press articles and social media posts of the business on websites and other platforms
  • To facilitate meetings, schedule debriefing meetings so follow up action can be implemented. Also by arranging refreshments, seating and taking minutes if required to do so.
  • To coordinate staff and board meetings and write up minutes
  • To assist in compiling Board papers and ensure they are sent in good time for meetings.
  • To circulate reports, minutes and agendas for Board and Subcommittee meetings.
  • To liaise with the Chairman and other Board Members on various matters as required.
  • To be responsible for receiving enquiries and providing an effective referral service to service users.
  • To liaise positively and professionally with colleagues and visitors;
  • To be amiable, professional and approachable at all times.
  • To conduct research and follow up on items the CEO is waiting for
  • To travel to various sites as required by the business
  • To ensure the CEO's daily reports are received in a timely manner
  • To coordinate and book all travel arrangements
  • To maintain the complaints file and ensure all complaints are responded to within target timescales
  • To maintain and continuously keep up to date mailing lists.
  • To ensure the effective management and update of all relevant databases.
  • Commit to working proactively to support both the team and project output
  • To be amiable, professional and approachable at all times.
  • To assist with all admin tasks within the business
  • Any other duties commensurate with the accountabilities of the post.

Marketing

  • To organise Images and content
  • To assist in copy writing
  • To maintain presence and support social media engagement
  • To monitor and report on emarketing
  • To create and maintain regional press list
  • To understand the PMS of the business

Sales

  • Competitor Research
  • To monitor live chat function on websites
  • To assist with reporting
  • To draft Group proposals
  • To research on target agents

Salary:
£23,000.00-£26,000.00 per year

Experience:


  • Customer service: 1 year (preferred)
