An exciting opportunity has arisen for an enthusiastic and motivated administrator to become part of a friendly multi-disciplinary team. This post will be based on the Surgical Emergency Ambulatory Unit on level 4 at the John Radcliffe Hospital.

The successful applicant will be required to work weekdays Monday to Friday The post holder will provide excellent customer care that demonstrates a caring and responsive approach to those attending the hospital, be able to liaise with other departments, accurately record and input data into the Trust's EPR system in a timely manner and maintain records containing sensitive patient information while ensuring patient confidentiality at all times.

The Surgical Emergency Ambulatory unit is looking for a highly organised individual who has a flexible approach to work. Attention to detail and IT skills are essential.

  • To ensure an efficient and high standard of clerical service is provided to the SEU Ambulatory unit.
  • To supervise clinical nursing staff in clerical tasks working within the SEU Ambulatory department.
  • To ensure a welcoming and professional greeting service is provided to patients and visitors on the SEU Ambulatory.
  • To support the Ward and be a visible and helpful member of the team for the benefit of patients, visitors and staff.
  • To facilitate the smooth running of the admission/discharge process for patients within the SEU Ambulatory unit.
  • To ensure accurate and timely completion of unit databases.
  • To support and supervise new ward members as appropriate.

The Trust is a founding member of The Oxford Institute for Nursing, Midwifery and Allied Health Research (OxINMAHR).

  • Liaise with other departments/hospitals to obtain medical records and Xrays for authorised users. Booking and tracing medical records. Filing investigation reports. Keep notes trolley in order. Ensuring that filing in medical records kept up to date and that medical records are in order before leaving the ward.
  • Act as a first point of contact for patients, relatives, visiting staff welcoming them to the ward and dealing with any queries regarding admission, discharge, visiting times, accommodation, insurance, parking. Always maintain confidentiality of patient information.
  • Answering telephone enquiries, exercising judgement to analyse and resolve problems where appropriate, taking appropriate action, or referring to the coordinator or Ward Sister as appropriate.
  • Making necessary arrangements/follow up for general ward maintenance.
  • Sorting incoming mail and directing as appropriate.
  • Maintain nonmedical records filing, moving files/records to and from storage areas.
  • Liaise with patients/relatives to issue patient sickness certificates and relative parking permit forms referring any queries regarding these to the Ward Sister.
  • Making sure patients on the ward are under their correct consultant, changing as necessary.
  • Undertake surveys/audits as directed by ward Sister.
  • To demonstrate good communication skills when dealing with patients, families, multi disciplinary team, other departments / hospitals, community health professionals, utilising a professional approach and demonstrating tact, diplomacy, persuasive skills and empathy referring on to ward sister/cocoordinator where appropriate.
  • To complete all mandatory training according to Trust and local policy through liaison with the ward sister.
  • To undertake and develop an appropriate role within the unit/ward area e.g. Fire Marshall, coordinating of stationary orders and medical supply orders.
  • Perform any other duties appropriate to the grade and objective of the post as directed by the ward manager.
  • To be flexible/willing to assist all areas within Upper GI e.g. at times of sickness or increased workload.
