Purpose:


We are currently recruiting for an Administrative and Accounts Assistant who will work with our team to ensure an exceptional experience is delivered to our clients through accurate and efficient execution of our processes, prompt responses to enquiries, proactive bookkeeping and excellent communication.


Duties and Responsibilities:


  • Manage the reception area, including welcoming customers, visitors and guests
  • Manage all postal correspondence and file appropriately, record all data related to post received for external and partner organisations.
  • Assist with filing systems, order input, data entry, including updating records and databases for customer accounts.
  • Manage inventory of office supplies and place purchase orders when necessary.
  • Posting and scheduling of social media posts, newsletters and external communications.
  • Arrange events and publicise via Eventbrite, including booking meeting rooms and organising catering/refreshments.
  • Follow up invoices and payments as needed and ensure timely payment of debts.
  • Process and reconcile invoices.
  • Produce reports from our online accounting system.
  • Check and post receipts to accounting system.
  • Follow all internal procedures as set out by the quality manual.
  • Ensure all enquiries are documented in the CMS system.
  • Ensure that all work is saved in the correct place on the server and/or is filed in a way that can be easily accessed by other team members.
  • Close down the office and lock up at the end of the day as required.
  • Provide administrative support to the team to meet the needs of the business.
  • Work collaboratively to contribute to overall vision and strategy.

Person Specification:


  • Professional communication skillsby phone, in person, and in writing
  • Excellent organisation skills, flexible and motivated
  • Strong IT skills
  • Takes initiative, proposing solutions
  • Able to work with a variety of tasks and prioritise according to importance

Job Type:
Part-time

Part-time hours: 10 per week


Salary:
£10.50-£11.50 per hour
