Job summary:


  • The Ministry of Defence Police (MDP) is the MOD's civilian police force which provides a number of specialist capabilities including armed protection, marine policing and criminal investigation. MDP employ approximately 3000 staff at locations across the UK, with its Headquarters currently located at RAF Wyton, Huntingdon, Cambridgeshire.
  • MDP is currently managing a wideranging programme of change and transformation including the establishment of a new training centre at DSPG Southwick Park, Hampshire.
  • The MDP Learning & Development Training Admin team is critical to the management and smooth running of all MDP requirements at the DSPG on behalf of the Head of Training.
  • These roles are the front facing contact for all MDP Students whilst on their probation training course and are responsible for the management of all their requirements, including travel, joining instructions, clothing issue and IT issues and liaising with site management to ensure any requirements are met.
  • They will work in support of the Admin Manager working in partnership with the Course Portfolio leads to ensure effective, timely information is dispatched to trainees and provision of equipment is available where required for recruits.
  • This position is advertised at Full Time 37 hours per week, though it will be open to Part Time staff if a Job Share can be achieved

Job description:

Duties will be split between to the two positions but will cover the following;

  • Point of contact for all students and visitors to the Operational Capability Centre (OCC) (Southwick Park). Provide assistance and support to all trainers and students as and when required.
  • Responsible for processing/arranging travel and accommodation requests for recruits and where required for staff.
  • Holder of an electronic purchasing card (EPC) to process requisitions of stationary, equipment and publications or via the Contracting, Purchasing & Finance (CP&F) system, maintaining a full audit trail. To act as focal point for receipt of recruit clothing dealing with issue and returns either at station or back to Stores.
  • Set up of classrooms/computer facilities, meeting both the customers and Health & Safety requirements for OCC.
  • Booking in and out of vehicles for staff and trainers and arranging servicing and MOT's. Checking and validation of all spend on fuel for vehicles on a monthly basis.
  • Assist in the organisation of Recruit Graduation Parade and Dine Out and the associated administration of the event.
  • Organise and oversee the maintenance of the OCC training archives ensuring that only the required documents are kept by observing the recommended timescales and that documents are stored in a secure and appropriate manner.
  • Provide admin support to Dog and Marine Training - processing Overtime, arranging replacement vehicles and loading new handlers/Trainers onto accreditation data bases.
  • Record all books/paperwork onto database. Create and maintain asset register for all resources and equipment within OCC. Maintain inventory for each classroom. Book in/out all training equipment including breathalysers and airwave radios. Conduct regular audits and report any discrepancies.
  • Issue and destruction of warrant cards including taking photos and uploading onto database, recording information and printing cards. Maintaining a warrant card database of all actions taken.
  • Receipt and issue laptops to recruits. To maintain database of laptops received into OCC(SP) and issued to Recruits.
  • Maintain work service database report all faults and act as point of contact for contractors for maintenance and repairs within OCC (SP) including all electrical equipment and photocopiers. Act as OCC (SP) fire warden, duties include daily health and safety checks of the training centre, monitoring of firefighting equipment and emergency exits. Monthly check first aid boxes to ensure they are fully stocked.
  • Collate Uniform requirements, order, stock and distribute where necessary.
  • Production of Training material and other OCC departments training material when required.
  • Any other Administration duties required to support training officers.
